Office Manager (Data Entry/Strong Excel)

* Issue quotes, process orders, research parts by utilizing company data bases

* Provide professional customer support via telephone and email

* Communicate with clients regarding orders and follow-up with clients throughout their order process via email or phone (will discuss quotes on products or re-ordering parts needed for the machinery that the customer already has)

* Issue return orders and process incoming returns from clients

* Update inter-company P.O excel file

* Daily monitor of any new shipment from our parent company or any local supplier

* Update customer service and management of delays, changes in production schedules, offer/look for alternatives if available

* Daily monitor of any shipment in transit in order to secure that the shipments arrive at the destination the quickest possible (check status, verify possible delays, solve customs' issues,)

* Support Parts Manager with other clerical and administrative support as requested

* Pick, Pack and ship packages of parts to clients

* Assist with inventory audits

* Assist other departments as needed

Required Skills & Experience
- 5+ years of experience in Customer Service/Office Management (written and over the phone)
- Strong Microsoft Excel/data entry experience (Vlookups and Pivot tables are a plus)
- Computer knowledge (must know how to type and enter receiving info into the computer -- need to be proficient with Excel, Word and Outlook)
- Attention to detail and willingness to learn!

Nice to Have Skills & Experience
- SAP/ERP similar system
- Fluent in Spanish (speaking and writing)
- Experience issuing quotes
- Shipping/Receiving experience
