Job Description:

Job Overview: As the Office Manager for Bus & Rail Administration at the Maryland Transportation Administration, you will play a critical role in ensuring the smooth operation of administrative functions related to bus and rail services. You will be responsible for managing office procedures, overseeing administrative staff, coordinating communication, and supporting various departments within the Bus & Rail division. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

'Key Responsibilities:
  1. Administrative Management:
    • Develop and implement office policies and procedures to optimize efficiency and productivity.
    • Manage day-to-day administrative tasks, including scheduling, filing, and record-keeping.
    • Supervise administrative staff and provide guidance and support as needed.
  2. Communication Coordination:
    • Serve as a central point of contact for internal and external communications related to bus and rail administration.
    • Coordinate communication between different departments, teams, and external stakeholders.
    • Draft and distribute memos, emails, and other correspondence as necessary.
  3. Meeting and Event Coordination:
    • Schedule and coordinate meetings, conferences, and other events for the Bus & Rail division.
    • Prepare agendas, meeting materials, and presentations as needed.
    • Ensure that meeting rooms are set up and equipped with necessary technology and supplies.
  4. Document Management:
    • Maintain and organize electronic and physical records, documents, and files.
    • Ensure compliance with record-keeping policies and regulations.
    • Assist with document preparation, editing, and formatting as required.
  5. Financial Administration:
    • Assist with budget preparation and monitoring for the Bus & Rail division.
    • Process invoices, purchase orders, and expense reports in a timely manner.
    • Track expenses and prepare financial reports as needed.
  6. Support Services:
    • Provide administrative support to various departments within the Bus & Rail division, including Human Resources, Finance, Operations, and Planning.
    • Assist with special projects and initiatives as assigned.


Qualifications:
  • Bachelor's degree in business administration, Public Administration, or a related field preferred.
  • Proven experience in office management or administrative support roles, preferably in a transportation or public sector environment.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Knowledge of office management best practices and procedures.
  • Familiarity with transportation systems, regulations, and terminology is a plus.
