The Operations Manager position works in close partnership with the Associate Dean for Curriculum, Associate Dean for Assessment, Evaluation, & Scholarship, and the Associate Dean for Clinical Competency to manage the administrative and financial infrastructure needed to support the effective development, delivery, and monitoring of medical student education.

Key Duties:
  • Manage the medical education staff to ensure appropriate support for the delivery of the various curriculum components. This includes, but not limited to managing staff; conducting performance reviews; approving timesheets; reviewing compensation equity; reviewing and optimizing staff effort and skills mix, including staff development and cross-coverage; distributing new project work as needed; writing/revising job descriptions; managing procedures for advertising, interviewing, hiring, replacing, terminating staff, including temporary staff, and faculty; managing onboarding and offboarding employees.
  • Oversee the financial operations of the medical education office, including but not limited to developing and monitoring the $3.5 million personnel and OTPS expense budget, identifying and implementing cost savings where possible; providing regular analyses; answering questions about the budget; ensuring all UVa, State, and Federal rules and regulations are followed; keeping faculty and staff apprised of changing rules, new processes, etc.
  • Process and approve Workday transactions as Accountant, Cost Center Manager, Project Budget Manager, Payroll Costing Manager, Payroll Accounting Adjustment Specialist, P2P Approver, and Approver for Account Certifications for cost centers and their affiliated projects that support medical education.
  • Manage physical space, security/access, equipment, and logistics for faculty and staff at three work sites (Pinn Hall, CMMEB, HSL), including: working with internal service providers (e.g., Facilities Management, ITS, PCS, SOMIT, ID Office, etc.) as needed; maintaining computer inventory and ensuring equipment is updated regularly and replaced on schedule (and as needed); working with external vendors for office furniture, renovations, etc.
  • Serve as a liaison for department administrators and dean's office staff to address queries about payments for education services and coordinating payments for special circumstances.
  • Assist Associate Deans with special projects as needed.
  • Organize and lead all-team staff meetings and other staff-wide events.
About the Curriculum:

Our innovative Cells to Society curriculum, provides a comprehensive approach that integrates medical science and practice to teach foundational science in the context of how it is used by physicians in their clinical practice and provides learning experiences across a broad variety of clinical specialties and settings. This model emphasizes collaborative team and individual learning, student-faculty interactions, clinical skills education and clinical problem-solving, hands-on laboratories, hospital and community-based patient care, and opportunities to individualize learning. The Entrustable Professional Activities (EPA) is an innovative program of teaching and assessment of the tasks students perform as they care for patients. The UVA Cells to Society curriculum prepares students to provide excellent patient-centered care, practice evidence-based medicine, and engage in lifelong learning.

The MD curriculum brings together the basic sciences and clinical practice for an integrated approach. This system-based learning model provides the framework for the four-year MD program. The curriculum is presented in three Phases. Phase 1 emphasizes the knowledge, skills and values needed to start practicing medicine. Phase 2 allows students to provide direct patient care under supervision while exploring different specialties. Phase 3 facilitates exploration of specialty areas of personal interest while preparing for residency.

MINIMUM REQUIREMENTS
Education: Bachelor's Degree required. Master's degree preferred

Experience: 5 years relevant administrative experience. Previous budget and staff management experience; administrative work in a medical education setting; familiarity with UVA and SOM programs/software (Workday, Oracle, Anaplan, VMED, Oasis, Box, Teams, etc.)

Preferred Qualifications:
  • Experience working in higher education, at an academic health care institution, and/or supporting medical education programs or curriculum.
PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
