This position is headquartered at our DMCPS Office ( 635 N 26th St, Milwaukee, WI 53233) . This is a full-time onsite position, five (5) days per week. Employees need to report to the 635 N 26 St., Milwaukee, WI office on their first day for onboarding and orientation.

Position Summary

This position is responsible for providing support to DMCPS staff and managers. This position requires writing and critical thinking skills, program knowledge, and the ability to support a variety of DMCPS staff, contracted partners and the public. Attention to detail and the ability to complete tasks efficiently and independently is required. The ability to interact effectively with complex government administration, individuals, and groups, in a systematic manner to accomplish specific tasks and assignments is essential. This position requires the ability to respond to DMCPS staff, contracted partners, and the public accurately and appropriately while exercising tact, discretion, and maintaining confidentiality. Key responsibilities include providing program assistance, administrative support, and assisting with office operations.

This position will provide administrative support to the Division of Milwaukee Child Welfare Bureaus/Sections (Initial Assessment Bureau, Quality Operations, Access, Professional Development and/or Office of Legal Counsel) as needed. Strong skills in written communication using standard English grammar and punctuation, desktop word-processing software (e.g., Word), e-mail (e.g., Outlook), and potentially PowerPoint. A basic level of knowledge of computer software, including MS office suite and database systems is a requirement of this position. Particularly, basic level experience with spreadsheets (i.e. data entry into current spreadsheet, understanding of basic tools functions, such as primary arithmetic functions, to manipulate and manage data), is necessary in this position.

This position's primary role is to oversee 21 DMCPS vehicles by monitoring and efficiently documenting the use and mileage daily, accurately tracking sign in/out logs related to staff usage of vehicles and equipment; ensuring vehicle keys are accounted for; following a maintenance schedule to maintain the interior and exterior of the vehicles and also independently monitoring vehicle service needs; effectively communicating with service providers to initiate and facilitate necessary repairs. This position is also responsible for the tracking of the above information in various databases and producing data reports.

This position requires a valid WI Driver's License.

Salary Information

The classification title for this position is Office Operations Associate. The starting salary is $20.02 per hour ($41,641) depending on qualifications. Pay for current State of Wisconsin employees will be based on the compensation plan in effect at the time of the appointment. Pay for current state employees who are transferring will be determined based upon the pay on transfer rules (higher level duties or equity) as outlined in the compensation plan in effect at the time of appointment.

The pay schedule/range is 02-10. A one-year probationary period may be required.

Qualifications

Minimally qualified applicants will have:
  • Experience handling sensitive/confidential information and/or documentation in a professional setting.
  • Experience performing day-to-day administrative support (i.e. filing, updating forms, drafting memos, maintaining/updating spreadsheets, mail merges, receiving mail, monitoring office supply inventory, assembling materials related to interviews and placements)
  • Experience handling multiple directives, questions, and issues at one time from several program areas, internal departments, and customers
  • Experience using spreadsheets at a basic level (i.e. data entry into current spreadsheet, understanding of basic tools functions, such as primary arithmetic functions, to manipulate and manage data)
Well-qualified applicants will have:
  • Experience responding to public records requests, recordkeeping and/or filing/tracking records.
  • Experience using databases or regulatory software (eWiSACWIS or similar) to research and pull program/business information for internal/external requests or customers.
  • Experience handling competing priorities and meeting deadlines.
  • Experience working with logistics and/or planning in the transportation industry
  • Experience performing minor vehicle repairs such as changing headlights, wiper blades, etc., and scheduling vehicle maintenance and service
