Job Summary:

The Office Services Coordinator is a very active, dynamic position- a “jack of all trades”. This position will help provide and maintain high service in all functional areas: Reception, Printing, Shipping and Mailing, Supplies, Hospitality, Record management and Facility maintenance.



Essential Duties

  • Be a positive representative of Lockton in the office and community.
  • Responsible for hospitality; maintaining and organizing all hospitality supplies and locations. Maintains meeting rooms and shared areas. Assists with meeting set up and clean up as needed, monitors meeting room schedules. Monitors and responds to team mailbox requests.
  • Fills supply requests and maintains supplies in all areas.
  • Monitors new hire email alerts, prepares and ships welcome boxes to new Associates.
  • Assists with printing/binding requests as needed. Monitors Print request mailbox and takes lead to cover absences.
  • Assists in sorting and directing incoming mail and deliveries as needed. Assists in gathering and processing any outgoing mail.
  • Maintains facility oversight - reports any issues and places maintenance requests as needed.
  • Provides reception phone coverage, for breaks and PTO. Monitors reception desk and lobby entrance for reception breaks/absences.
  • Follows and monitors all department procedures and practices. Responsible for providing excellent customer service to all Producers, Associates, visitors, guests, and vendors.


Requirements:

  • Some Higher education phone/office experience preferred.
  • Multi line phone/Reception experience preferred; ability to hear and speak clearly
  • Strong knowledge of Microsoft Office suite (Word, Outlook, Excel, and PowerPoint).
  • Ability to work independently.
  • Effective communication skills, problem solving & customer service skills.
  • Ability to communicate in a positive manner to contribute to a cohesive, pleasant work environment.
  • Organization and time management skills to prioritize heavy workloads to meet time-sensitive deadlines.
  • Ability to be a team player, share responsibilities, seek guidance and assistance from other team members as needed.
  • Physically able to lift 50 lbs, use a dolly/hand cart, and kneel to maintain office equipment as needed, and move quickly throughout the office.
  • Ability to communicate professionally with internal clients and external vendors and develop strong working relationships.
