Job Description :
Under limited supervision, purchases parts, components, materials and supplies to support manufacturing operations and production using MRP and Purchasing Requisitions.
Employees in this job classification negotiate costs, obtain quotes, select most suitable suppliers, and work closely with vendors and internal and external customers to assure orders meet job specifications and production requirements.
Duties:
• Processes purchase orders for electronic component parts, materials, equipment and supplies in support of manufacturing and production needs per MRP. Follows established procedures and policies to contact vendors, obtain quotes, choose suppliers, place orders and expedite or escalate orders when needed. Enters order information into system using LN (infor) and updates information on open orders.
• Tracks open purchase orders using the Open Order Report and resolves discrepancies such as wrong quantities, incorrect products shipped, change orders, missing shipments, price changes, returns, and defective materials. Works directly with vendors to resolve issues and obtain status updates.
• Corresponds with internal and external customers regarding the status of purchases, and responds to emails and voicemails regarding confirmations, problems, issues, and notices.
Provides accu*** information, resolves problems, or routes to appropriate personnel.
• Responds to client inquiries regarding part rolls, missing shipments, and purchase order discrepancies. Revises purchase orders when necessary to replace unavailable parts with different components of the same form, fit and function, and obtains customer approval.
• Escalates past due purchase orders and missing shipments with vendors and expedites orders as necessary. Resolves U.S. Customs issues that hold up shipments by providing needed information for clearance and coordinating with client and vendors.
• Works with Receiving and Accounting Department staff to resolve issues involving receipts, purchase order documents, and invoices; and contacts suppliers for clarifying information.
• Creates, updates, and produces a variety of activity and status reports for internal and external customers regarding invoices, purchase orders, timelines, past dues, MRP, MRP exceptions and Inventory Levels.
• Reviews vendor reports and pre-ship advice, and updates systems to show correct delivery dates.
• Reviews inventory aging reports to determine proper disposal of excess and obsolete materials.
• Participates in departmental and client meetings to coordinate efforts and resolve process and logistical problems.
• Performs other duties and special projects as assigned.
Required Skill Set :
This job requires knowledge of materials purchased, purchasing processes and procedures; and the ability to document specifications, track orders and provide excellent customer service.
Education Qualification :
Minimum High School Diploma or equivalent
