Job Description:
As an integrated part of the department/unit, the Office Coordinator provides clerical support and ensures efficient maintenance of files and data activities.
Essential Duties:
Communication Skills:
Effectively communicate with co-workers, relaying information promptly.
Handle calls professionally, taking detailed messages and forwarding them accordingly.
**Computer Skills:**
Type and proof documents (e.g., correspondence, reports, charts, minutes, policies).
Create and manipulate spreadsheets/tables, and maintain computer records/files.
Design PowerPoint presentations for events/meetings and ensure grammatical accuracy in business-format letters.
**Customer Service:**
Greet and assist patients/visitors, providing information or contacting the appropriate staff.
Demonstrate outstanding telephone etiquette.
**Data Entry & Report Preparation:**
Enter data accurately and prepare reports for committee meetings and other departments/services.
**Information Distribution:**
Maintain and ensure confidentiality of computer data.
**Meeting Scheduling:**
Coordinate meeting dates/times, arrange locations, AV equipment, or catering as needed.
Attend meetings and prepare minutes as requested.
**Office Maintenance:**
Complete copying, collating, and coordinating materials orderly.
Maintain the General filing system and handle mail pick-up/delivery for nursing managers/directors.
Provide an efficient filing system for easy retrieval of information.
Perform other duties as assigned.
**Required Qualifications:**
2 years of secretarial experience.
Customer service experience.
Excellent knowledge of Microsoft Office, including Word, Excel, and PowerPoint.
Ability to use spreadsheets for data display and manipulation.
Excellent customer service behavior and strong communication skills.
**Preferred Qualifications:**
Bachelorâs degree in a related field.
Experience in data entry and statistical analysis.
Experience with Kronos timekeeping system.
Knowledge of medical terminology.
Education: Bachelors Degree
