Job Summary:

We are seeking a detail-oriented and highly organized Intake Coordinator to join our team. This role is crucial in managing referrals, processing orders, and ensuring accurate data entry. The ideal candidate will thrive in a fast-paced environment and demonstrate strong multitasking abilities, exceptional customer service skills, and proficiency with computer systems. This role requires taking a high volume of calls daily.

Key Responsibilities:
  1. Referral Processing (30%)
    • Process incoming referrals and route them for sales supplies delivery.
    • Stay updated on third-party payor regulations and requirements.
    • Notify relevant department personnel when referrals do not meet financial criteria for acceptance.
  2. Customer Contact and Documentation (20%)
    • Serve as the main point of contact for inquiries related to pricing, reordering supplies, and shipping.
    • Provide billing records for insurance claims.
    • Submit necessary paperwork to Medicaid and managed care organizations (MCOs) for prior authorizations.
  3. Issue Resolution and Tracking (5%)
    • Address routine product or service issues, resolving them or referring them to the appropriate department.
    • Track and document all customer complaints and incomplete orders.
  4. Insurance Verification and Database Management (5%)
    • Verify insurance coverage monthly and update the database accordingly.
    • Obtain benefit eligibility information and prior authorization from third-party payors.
    • Log prior authorizations and review Certificates of Medical Necessity (CMNs).
  5. Supply Preparation and Notification (5%)
    • Prepare patient supply tickets daily for durable medical equipment (DME), pharmacy medications, and supplies.
    • Notify the appropriate personnel upon completion.
  6. Data Integrity Monitoring (35%)
    • Monitor and maintain data integrity across computer systems.
    • Process orders from physicians for new patients, start the intake process, and follow up throughout the process.
    • Manage approximately 400 orders per month in a high-paced environment.

Job Requirements:
  • Previous intake experience in a high-volume phone role.
  • Proven strong job tenure and reliability.
  • Experience with insurance processes and documentation.
