Responsibilities:
  • Coordination of Personnel and Functions: Oversees front office staff daily, attends relevant meetings and training, and provides new staff training while serving as a lead resource. Conducts update meetings, verifies bank deposits, maintains supply inventory, and monitors error reports. Troubleshoots process issues, attends customer relations training, and collaborates with the manager for all tasks.
  • Registration: Gathers and verifies patient demographics, financial, and guarantor information. Accurately updates and revises patient information in the scheduling/financial system. Confirms insurance coverage, validates guardianship, explains payment policies, collects payments, and ensures patient confidentiality.
  • Telephone Responsibilities: Answers and manages phone calls with a focus on customer service. Greets callers, returns calls, takes and relays messages, transfers medical concerns to clinical staff, and schedules or adjusts appointments based on availability and criteria.
  • Administrative/Office Support: Processes and reconciles co-payments and service payments, reviews financial error reports, and generates letters and faxes as directed. Completes patient checkout, schedules follow-ups, and maintains accurate financial records.
  • Customer Service: Confirms and directs patient appointments, resolves issues or escalates to the Manager if necessary, respects patient privacy, and explains payment policies. Collects payments and maintains accurate deposit records.
  • Secondary Duties: Reports ill patients to nursing staff/providers, coordinates supply orders, scans medical records, manages mail distribution, completes referrals, and performs additional assigned duties including charge entry.


Qualifications:

Required:
  • High School diploma or equivalent
  • Minimum of two years' experience as a Medical Secretary, Customer Service Representative, Scheduler, or Medical Assistant in an ambulatory or outpatient care setting
  • Proficiency in computer use, including keyboarding and medical terminology knowledge

Preferred:

  • Experience with Electronic Medical Records (EMR) and registration/scheduling systems.
  • Knowledge of Medicaid, Medicare, and private insurance plans.
  • Familiarity with insurance verification systems.
  • Previous team leader or supervisory experience.
  • High level of accuracy and attention to detail.
  • Strong organizational and communication skills.
  • Ability to work independently in a fast-paced environment.
  • Medipac and EPIC experience

  • Act 34
