Responsibilities

Position Summary:

With moderate direction and considerable latitude for independent judgement, performs complex secretarial, administrative and physician support duties, in a fast-paced environment with minimal direction, in support of the clinic and academic programs. Responsibilities include time and calendar management to ensure daily manageability, telephone triaging and management, patient scheduling and provider schedule monitoring and information/data support. Required to anticipate needs of scheduling, problem solve, and independently prioritize tasks. Acts as a resource to clinical staff for their schedules. Monitors and ensures that all functions are completed in an accurate, efficient, and customer friendly manner. Has frequent contacts with all divisional providers and administrative staff.

Responsibilities:
  • Examines the clinical schedule(s) on a continuous basis to identify opportunities for optimizing the time and effort of all providers. Uses independent judgment, authorizes overbooking as needed.
  • Monitors and tracks providers¿ availability. Serves as primary contact for provider(s) and their schedules.
  • Maintains and updates cancellation/wait lists to effectively manage utilization.
  • Answers phones, triages calls and relays messages. Utilizes eRecord for timely and confidential patient communications.
  • Fields patient inquiries and concerns. Resolves patient needs independently.
  • Reviews provider schedules at least one week ahead to identify scheduling errors or opportunities to fill schedules for optimal schedule utilization.
  • Fields questions, provides instruction, and resolves scheduling issues they encounter.
  • Ensures complete, accurate, and timely information requests are completed and secures necessary information from providers/patients prior to appointments.
  • Manages Division Chief¿s calendar, prioritizes appointments and meetings based on provider preference. Chooses and recommends among competing demands.
  • Assists in arranging travel, conference registration and hotel accommodations for Faculty and providers in division. Interfaces with organizations, hospitals and others to facilitate invited lectures and speaking engagements for the faculty member.
  • Processes reimbursements by gathering documents from providers, completing appropriate forms for reimbursement, and submitting information to the finance office.
  • Acts as a resource to Neurology clinic location staff and Access Center as needed on a daily basis, with regard to General and Headache clinic appointments.
  • Assesses calls to understand patient needs, prioritizes medical concerns and obtains responses from providers and follows up with patient.
  • Assists in maintaining provider licensure, DEA enrollment, educational, training, etc. records.
  • Ensures providers have completed and signed documentation.
  • Assists the fellowship program director and coordinator in creating monthly trainee schedules.
  • Maintains and distributes meeting agendas and meeting minutes for all division meetings.
  • Plans and organizes division events under direction and supervision of the division chief and division administrator in conjunction with the administrative assistant.
Other projects and job duties as assigned.

Qualifications :
  • High School Diploma required.
  • Minimum of 2 years of relevant experience required;
  • or an equivalent combination of education and experience required.
  • Demonstrated customer relations skills required.
  • Medical Terminology; experiences with surgical/appointment scheduling software (such as Flowcast), and electronic medical records preferred.
  • Strong customer relations and interpersonal skills preferred.
  • Strong attention to detail and organizational skills preferred.

Pay Range: $19.47 - $25.77 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job¿s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
