Through the development of cutting-edge theory, research, education, and practical work, we seek to identify and address the underlying causes of conflict and provide tools for ethical and just peacebuilding on the local, national, and global stages.

About the Position:

Jimmy and Rosalynn Carter School for Peace and Conflict Resolution is seeking to hire a Post-Award Support Specialist to primarily support post-award financial operations. Reporting to Carter's Director of Finance & Human Resources, the Post-Award Support Specialist is responsible for assisting with departmental fiscal needs including processing travel pre-approvals and reimbursements, accounts payable/receivable transactions, journal transfers, and labor redistributions, etc. for post-awards. Additionally, the Post-Award Support Specialist provides student-related and human resource operations support.

Responsibilities:

Fiscal Support (Post Award, Centers/Labs/School, Philanthropic Funds):
  • Facilitates the approval of Carter School requisitions/purchase orders/invoice/journal transfers to pay subcontractors, consultants, vendors, etc. for grant/contract, indirect, E&G, and Foundation funding;
  • Provides guidance to consultants, vendors, internal stakeholders etc. regarding payment procedures, status inquiries, etc.;
  • Initiates payments for including GMU Foundation vouchers, assistantships, scholarships, and honoraria;
  • Processes travel pre-authorizations and reimbursements requests for non-employees and students; assists faculty/staff in processing travel/expense reimbursements for grant/contract, indirect, E&G, and Foundation funding;
  • Prepares and distributes monthly reconciliations for review, approval, and sign-off for sponsored funding. Maintains monthly reconciliations in support of audit reviews;
  • Ensures payroll certifications are reviewed, verified by PI, and submitted to Office of Sponsored Programs; and
  • Serves as Store Manager for Mason Marketplace ensuring accuracy of product/service offerings, accounting, and refunds are appropriately aligned with Carter programs/units.

Human Resources Support:
  • Processes transactions related to hiring, terminations, salary allocations, and special/summer payments against state and sponsored research funds as needed.

Academic Support:
  • Prepares tuition waivers, scholarship payments, and ad-hoc payments for students as required; and
  • Prepares overload and adjunct faculty contracts, and facilitate payment processing as necessary.

Other:
  • Other fiscal and HR duties as assigned by supervisor.

Required Qualifications:
  • High school diploma or equivalent
  • Prior experience processing fiscal and/or HR transactions;
  • Experience responding to tasks with a sense of urgency, managing multiple projects and deadlines effectively;
  • Experience and comfort in working with and/or supporting diverse stakeholders;
  • Ability to perform duties with a high level of professionalism, flexibility, integrity, diplomacy, tact, and confidentiality when necessary;
  • Proficiency in MS Office and willingness to learn new programs as needed;
  • Demonstrated ability to work independently, collaboratively, and take initiative;
  • Ability to assess priorities, organize and operate in a flexible manner;
  • Superior communication skills, both spoken and written;
  • Excellent time management, organization, and problem-solving skills;
  • Ability to respond to tasks with a sense of urgency and to manage multiple projects and deadlines effectively;
  • Excellent organizational skills, detail-oriented and accuracy driven; and
  • Ability to effectively work with and/or support diverse stakeholders.

Preferred Qualifications:
  • Bachelor's degree in a related field
  • Previous higher education experience, especially GMU and/or other state institutions with an emphasis on fiscal responsibility;
  • Prior experience with post-award functions, preferably in a higher education institution;
  • Demonstrated experience using Enterprise Resource Planning (ERP) systems;
  • Familiarity with GMU systems such as ChromeRiver, Ellucian Banner, MicroStrategy, eVA;
  • Experience with financial reconciliation and p-card management;
  • Experience processing journal transfers/vouchers, labor redistributions, and electronic personnel action forms; and
  • Knowledge of p-card and travel expense reimbursement processes.
