This full-time position serves as procurement and operations support for the Business school. The Procurement & Operations Coordinator is responsible for procurement, travel, and facilities operations including work requests, maintenance issues, key management, and more. The position is responsible for ensuring the Business School complies with all fiscal, legal, and other applicable University policies and procedures related to its areas of responsibility.

In addition, the position represents the Business School on CU Denver committees as appropriate and interacts with other campus offices to provide requested data and information. This position reports to the Assistant Dean of Finance and Operations.

Procurement & Operations Coordinator

What you will do:

Procurement Dutie

  • Oversee all procurement related activities for the CU Denver Business School in a timely and efficient manner, to include:
    • processing travel reimbursements.
    • processing personal reimbursements.
    • allocating procurement card and travel card expenses.
    • ordering through Marketplace and via procurement card.
  • Primary liaison for procurement cards and travel cards for Business School procurement needs.
  • Email communications with faculty and staff regarding all procurement matters (reimbursement, travel, procurement reports, grant spending, etc.).
  • Serve as systems backup in Marketplace for all Purchase Orders, SPO creations, SOWs, invoice processing, and more.
  • Track faculty research fund usage via spreadsheets.


Facilities Operation

  • Manages CU Denver Business School facilities, to include work requests, maintenance issues, floor access coordinator, fire & life safety coordinator; manage key, space, furniture requests & disposals, and shredding pickup.
  • Responsible for building access requests and updates.
  • Maintains building access groups and building hours.
  • Responsible for office supplies inventory and ordering.
  • Has a procurement card and Marketplace access.
  • Ordering business cards and assisting with printing jobs.
  • Responsible for mail and package deliveries.
  • Works on various projects as required by the Assistant Dean of Finance and Operations.


Fiscal Reporting

  • Assists Assistant Dean of Finance and Operations with fiscal reporting needs.
  • Spreadsheet entry and tracking as needed.
  • Provide reports to Directors as needed.
  • Collecting Data for budgeting process.


Conditions of Employment

This position follows a hybrid work structure where employees can work remotely or from the office, as needed, based on demands of specific tasks or personal work preferences. Working from the office is encouraged when working on tasks that require a high degree of collaboration.

Compensation and Benefits

The salary range (or hiring range) for this position has been established at $59,000-$62,000.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.

Qualifications

Qualifications you already possess (Minimum Qualifications)

  • Bachelor's degree in public administration, public policy, business, higher education administration, social sciences, behavioral sciences or a directly related field from an accredited institution.
  • One (1) year of professional experience in an operations role.


Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Preferred Qualification to possess (Preferred Qualifications)

  • Two (2) years of operations experience.
  • Previous experience at the University of Colorado in a similar position, using CU systems (Marketplace, Concur, HCM), University forms and policies/procedures.


Knowledge, Skills, and Abilities

  • Proficiency with all MS Office (MS Excel, MS Outlook, MS Word, MS PowerPoint) applications and the ability to learn and experiment with new software and systems.
  • Effective oral and written communication skills and interpersonal skills.
  • Ability to establish and maintain effective professional working relations with subordinates, peers, colleagues, associates, administrative staff members, faculty, and with personnel of external agencies and organizations.
  • Ability to create and maintain a workflow to track multiple steps in a process and enable the most efficient execution of the process.
  • Strong organizational and time management skills. Proven ability to prioritize work, set limits, attend to detail and meet deadlines. Successful experience working with multiple demands.
  • Ability to take direction and use independent judgment; proven ability to take initiative. Collaborative and team player.
  • Must possess a professional demeanor and have experience that demonstrates problem solving skills and the ability to manage multiple tasks and work independently with minimal supervision.
  • Ability to handle frequent interruptions in a positive manner.
