This role provides assistance with the administration, coordination, implementation, and ongoing evaluation of all phases of the following programs but not limited to the Division of Clinical Social Work, Interpreter Services Program, Immediate Needs Transportation, and The Department of Supportive Care Medicine and the Sheri & Les Biller Patient and Family Resource Center (BRC/DCSM). The Coordinator collaborates with the Directors in managing, coordinating, and facilitating the activities of the programs. Responsibilities include assisting with the tracking of the programs and projects within the institution. Performs a variety of professional and analysis functions in support of the day-to-day operations of the programs. Other responsibilities include performing clerical duties of high scope and complexity requiring strong knowledge and the highest level of expertise in office operations and clerical problems.

As a successful candidate, you will:
  • The Coordinator has a key role in assisting with the day-to-day operations of the City of Hope Interpreter Services Program and is under the supervision of the Director of Clinical Social Work and the Interpreter Program Coordinator. Duties include tracking LEP (Limited English Proficient) patients, taking requests, and scheduling interpreters to assist LEP patients throughout the hospital where requested.
  • The Coordinator has a key role in coordinating three transportation programs that assist City of Hope patients and family members.
  • The Coordinator is responsible for daily operation of the Immediate Needs Program, which is sponsored by the County of Los Angeles. The Coordinator ensures patient's needs are met in critical situations by providing vouchers for transportation services. The Coordinator also attends meetings with patient groups to understand their needs.
  • Coordinates Transportation Program for last minute discharges. Also, Coordinates Pediatric Transportation program. Determines which transportation account to use, coordinates with COH providers to determine best transportation methods and schedules transportation for patients.
  • Back up resource for ERP and assists with implementing contracts into Meditract.
  • Performs clerical duties of high scope and complexity requiring strong knowledge and the highest level of expertise in office operations and clerical problems. Provides general clerical services that are accurate, reliable, courteous and timely.
  • Triages many variable, unpredictable, sensitive situations, such as telephone calls and walk-ins in a timely, calm, and professional manner to the appropriate higher level staff.
  • Assists in care & maintenance of department equipment, office machines and supplies. Troubleshoots problems, reports malfunctions and arranges for repair.
  • Quarterly reviews Accrditaion Manager Plus (AMP) to ensure required metrics are up-to-date. Prepares reports in compliance with state and Joint Commission review for
  • Analyzes, creates, and maintains databases to house the different data that is collected as needed. Determines how to collect data and how to report it.
  • Responsible for the scheduling of department staff for Officer of the Day (O.D) and Night & Weekend On-Call based on criteria developed and agreed upon by the department staff. Communicates schedule to the switchboard and inputs it onto the Intranet On-Call system.
  • Coordinates and monitors the Variable Vouchers issued by the International Institute of Los Angeles (IILA) and MTA for assistance with the COH Emergency Transportation Program. Generates a monthly report to IILA with the budget and the number of vouchers utilized each month. Maintains records according to the agreement with IILA in case of audits by MTA. Turns over used/voided vouchers and collects new vouchers quarterly to the offices of IILA in Los Angeles. Attends a mandatory annual training session at the turn of the IILA Fiscal Year in June (FY starts July). Trains and/or informs current and new staff on any changes that may occur from year-to-year.
  • The Department of Supportive Care Medicine and the Sheri & Les Biller Patient and Family Resource Center utilize a staff leadership model and every employee is expected to take a leadership role in the department, including active involvement on a Biller Resource Center Work Group. Employees will also be expected to actively participate in marketing, educational and group programs, program development and fundraising efforts, and outreach to patients, families, other City of Hope departments and the community.
  • Attends training outside of COH to improve, expand, and learn new skills.
  • Provides service in a manner consistent with a specific role and function according to COH policy and procedure.
  • Demonstrates assimilation of core organizational values within own performance. Maintains current knowledge and awareness of organizational and regulatory standards, policies and procedures.
  • Monthly attend El Concilio meetings and assist with the recording of minutes.
  • Assist with Community Programs; Adopt-A-Family, Easter Baskets, Thanksgiving Baskets, etc,




Your qualifications should include:
  • Bachelor's Degree
  • 2+ years of experience may substitute for minimum education requirements.
  • One or more years of experience with coordination of programs.
  • Prior experience consistent with duties.
  • Preferably: Experience in hospital or research environment. Administrative experience at Senior Secretary level or higher.
