GENERAL SUMMARY/ OVERVIEW STATEMENT:

The Saxena Laboratory in the Center for Genomic Medicine at Massachusetts General Hospital (MGH) is seeking a motivated, enthusiastic Program Manager to join our research group. Our research group uses human genetics and complementary strategies to: (1) identify the genetic basis of sleep and circadian rhythms;(2) reveal mechanistic links between sleep/circadian rhythms and cardiometabolic, immune and neurological diseases; (3) ascertain fetal and maternal genetic risk factors for adverse pregnancy outcomes and investigate their pathophysiology. The Program Manager must be highly intuitive, adaptable and enjoy the fast-paced environment to manage programs, projects, and initiatives. The Program Manager will report to and work closely with Dr. Saxena and Dr. Ollila. The incumbent will also work collaboratively with a team of administrators and faculty, and the diverse community at the Center for Genomic Medicine at Massachusetts General Hospital (MGH).

The Program Manager reports to Richa Saxena and Hanna Ollila. In this role, the PM supports the Saxena lab's vision by developing and/or organizing plans for the execution of mission driven projects. Although not all encompassing, these projects could include research and clinical platform development, organizing travel, coordinating meetings, and facilitating communications. The purpose of the position is to help facilitate the Dr Saxena's and Ollila's scientific vision and can take form in working directly with individual CGM faculty, external faculty, administrators, and other members of the Partner's or external communities.

Possesses a thorough knowledge of current PHS, MGH, NIH, and other research-related policies/procedures, guidelines and standards. Requires discretion and judgment to organize priorities, complete tasks and handle confidential information.

PRINCIPAL DUTIES AND RESPONSIBILITIES

• Serve as the primary support to Dr Ollila and Dr Saxena

• Directly supervises the work of administrative assistant support

• Manage email distribution list

• Coordinate meetings (agendas, meeting minutes, etc)

• Attends and participates in Hospital and Departmental meetings as appropriate

• Maintain and develop an encompassing "how to" manual for the department: purchasing, echecks, reimbursements, hiring, etc.

• Manage and tracks consulting agreements, confidentiality agreements, SAB agreements, and equity agreements (working with OII)

o Track and report all payments associated with these agreement

o Track and report all sponsored travel associated with these agreement

• Handle all aspects of purchasing (quotes, PO, invoices) task

• The project manager will coordinate bi-weekly meetings for all research teams inside and outside MGH including preparation and distribution of routine correspondence related to administrative functions within each of the collaborative research group

• Maintain a highly proficient and professional image of Massachusetts General Hospital by cooperating with hospital staff to achieve goals and maintain strong employee relationships, interdepartmental relations, client and patient relationships and public relations.

• Maintain and reconcile corporate cards and submits staff reimbursement

• Make travel arrangements as required

o Scheduling of flight, hotel, car rental

o Registration for meetings/conference

• Collaborate with laboratory leadership to evaluate, develop, and implement various administrative systems and procedures designed to optimize workflow, thereby creating efficiencie

• Maintain exceptional organizational skills and ability to organize time and priorities effectively

• Maintain calendars as needed/ requested including scheduling internal and external meetings and conference

• Requisition supplies for Center-based program

• Assist with projects as requested; coordinate and prioritize projects with supervision

• Performs other necessary tasks and projects relevant to the goals of each specific external grant, at the request and supervision of the PI/Director.

• The program coordinator will manage collaborative lab materials and communication

• Data and very detail oriented; finds patterns and leverages project management techniques to do so. Must be proficient in Microsoft Office applications including Outlook, Word, and PowerPoint

Minimum Required:

Bachelor's Degree

Preferred:

Master's Degree

EXPERIENCE:

Required: 3-5 years of directly related experience

Preferred: Experience as primary support for lead executives in a company or academic institution.

SUPERVISORY RESPONSIBILITY (authority to hire, promote, or terminate):

Direct: 1-1.5 FTE

FISCAL RESPONSIBILITY:

Responsible for budgetary management of specific projects related to program development.

WORKING CONDITIONS:

Normal office environment working conditions.

Some travel may be required between local institutions.

Potential for out of state travel 1-2/year.

Meetings outside of regularly scheduled office hours may be required.
