General Summary:

Responsible for ensuring that the development of all Board support materials including agenda reports, memos, quarterly reports, and presentations for the Development Department follow agency requirements. Successful execution requires agency-wide coordination with departments such as legal, procurement, executive, and EEO. This position also coordinates the development and distribution of external project and program related documents in support of major capital programs and departmental initiatives.

Essential Duties and Responsibilities:

  • Manages the Board agenda report process for the Development Department, including editing, drafting, and coordinating Board agenda reports and presentations.
  • Schedules and attends weekly Agenda Planner meetings; updates template with needed changes and submits weekly to DART Executive office.
  • Produces Agenda Report schedule for the department for each Agenda Report cycle and process reports through DART's Board Agenda workflow.
  • Follows-up with individuals throughout the Agency to make sure everyone has the information they need to complete reports and presentations.
  • Coordinates with the Development department agenda coordinators on their Agenda Reports (obtaining signatures, planner edits, etc.) and prints a final version.
  • Collects presentations across the department and ensures presentations comply with DART requirements. Forwards final presentations to Board Support/Executive office after EVP's approval.
  • Prepares for production of Project Development Progress Report by collecting updated written status of each project/contract, updated schedule and cost information, and current photos.
  • Compiles information into the progress report which is distributed on a monthly and quarterly basis; distributes approved report to proper parties.
  • Develops a schedule, coordinates times and spaces (meeting room, parking, etc.) for government agency or oversight committee meetings.
  • Provides support to EVP, Development Department leadership and the Board during progress report, project report and Board Agenda Report review process.
  • Assists with the reviews and/or updates of department documents, reports and deliverables for consistency and accuracy.
  • Ensures the timeliness and responsiveness of matters requiring EVP approval.
  • Performs other related duties as assigned.


Minimum Knowlegde, Skills, and Abilities Required:

Note : An equivalent combination of related education and experience may be substituted for the below stated minimums excluding High School Diploma, GED, Licenses, or Certifications.
  • Bachelor's degree from an accredited college or university in Business Management, Communications, Liberal Arts, or related field.
  • Four (4) years of progressively responsible experience involving administrative projects, writing, and presenting information in an executive level environment or related field to include two (2) years of project management experience.
  • Proficiency of PC software applications to include Microsoft Office or other related software applications.
  • Pass a physical (medical) examination that includes a drug screen to operate DART non-revenue vehicles.
  • Ability to be dedicated to meeting the expectations and requirements of internal and external customers. Gets first-hand customer information and uses it for improvements in products and services. Acts with customers in mind. Establishes and maintains effective relationships with customers and gains their trust and respect.

Working Conditions:

Works in an environment where there is minimum exposure to dust, noise, or temperature. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting DART's operating facilities, assuming incumbent is observing all policies and procedures, safety precautions and regulations, and using all protective clothing and devices provided.
