What does a Project Analyst II do?

The Brigham and Women's Hospital Department of Medicine (DOM) is a Harvard Medical School (HMS)-affiliated academic department comprised of >1,400 faculty, 22 divisions, ~$400 million in annual professional clinical gross revenue, >350 residents and fellows, and ~$450 million in annual research expenditures. The DOM is the largest academic department at BWH and among the largest in the country.

The Project Analyst II will partner closely with the Department of Medicine (DOM) Vice Chair for Medical Education; Senior Director, Academic Affairs; Director, Education Administration; Residency Program Director; Student Education Director; and Director for Continuing Medical Education, and other clinical leaders toward the achievement of the initiatives and goals of the DOM Education Office. Responsibilities include a broad range of analytical, operational, and financial activities that will help support BWH and DOM in its efforts to successfully train future doctors while maintaining high caliber education programs in a fiscally responsible and accreditation compliant environment.

DOM utilizes a co-reporting structure to allow its Project Analysts to develop content expertise in a subject matter area while also leveraging a peer group of analysts. The Project Analyst co-reports to the DOM Director of Education Administration and the DOM Director of Analysis and Planning. The DOM Project Analysts are the primary administrative and financial resource for education program development (analysis, planning, and evaluation), review (assessment, performance improvement, and support), and financial management within the DOM. While primarily focused on the financial support of the DOM's education programs, the Project Analyst will also collaborate with other leaders in DOM to work on initiatives outside of both finance and education.

Schedule: Hybrid

The individual can expect to work onsite for probationary period before moving to a hybrid work schedule (2-3 days in office).

What does a day look like in this role?

Financial Management

  • Draft profit and loss statements with content input from constituents.
  • Assist with creation of contracts and financial agreements with other institutions and entities.
  • Assist with the annual budget process.
  • Provide oversight of Education cost centers.
  • Reconcile monthly and quarterly payments for faculty and teaching activities.
  • As appropriate, manage budgets, submit payment requests, and monitor revenues for the Integrated Teaching Unit.
  • Prepare invoices and payments for faculty and affiliate institutions.
  • Support a selection of areas with regular reviews of collections activity, revenue, expenses, and payments.
  • Assist with monthly review and analysis of actual/budget variances for reporting to all levels of management.
  • Monitor and track the compensation for the Integrated Teaching Unit.
  • Monitor and manage donor-funded accounts, completing accounting transactions and reporting on a regular basis.


Data, Reporting, and Analytic

  • Request, receive, extract, enter, monitor, analyze, and report data and other types of written input for various projects and initiatives.
  • Develop and maintain operational and financial reporting tools (e.g., dashboards, summaries, and other internal performance reports) as needed to monitor activities and metrics and to inform the ongoing evaluation of existing projects and initiatives, for both internal and external audiences.
  • Produce graphs and data tables for projects and presentations.
  • Assist subject matter experts in design and implementation of analyses.
  • Provide financial support for new initiatives, departmental forecasts, and operational decisions by analyzing key performance indicators, drafting financial models, and creating forecasts. Effectively communicate and present issues to internal leaders.
  • Assist with and lead other analytical assignments and ad hoc reporting as required.
  • In collaboration with other hospital departments establish streamlined and automated approaches to reporting.
  • Develop approaches for ensuring data quality and maintaining currency.
  • Stay informed of the changing data environment to ensure accurate data extraction.
  • Monitor data collection to ensure proper collection and storage of data.


Education Administration

  • Provide analytical support for contracts and financial agreements with other institutions and entities with regards to faculty compensation and resident salaries.
  • Assist with special projects which are central to improving analytical tools, internal processes, and the overall management decision process.
  • Facilitate the formulation of multi-year DOM plans with members of DOM and BWH leadership to support growth and enhancement of educational mission.
  • Other duties as assigned.

  • High degree of analytic ability to manage the financial and data aspects of the position.
  • Excellent verbal and written communication skills to communicate effectively with a large and diverse constituency, including hospital and departmental clinical leaders, departmental and division faculty and support staff, representatives of other BWH offices, collaborating institution officials, representatives, and vendors.
  • Agility with various software applications including MS Word, Access, Excel and PowerPoint.


Qualifications

What we need from you:

• 2-4 years of hospital or education administration experience, preferably in an academic medical center environment.

• Bachelor's degree required.

• MBA, MSA, MSF, MHA, or equivalent degree preferred.

• Two or more years of demonstrated fiscal responsibility, including budgeting, forecasting and cost/benefit analysis.

• Application- and advanced-level software skills in Microsoft Office and Microsoft Excel.

• Familiarity with Mass General Brigham institutions is a plus.
