Primary Responsibilities

  • Project Coordination and management support
  • Manage and coordinate receipt, review, consolidation, and return of various engineering deliverables in construction management software such as Procore, Aconex, etc.
  • Manage and coordinate review of engineering drawings in Bluebeam Studio Sessions.
  • Manage and coordinate collaborative edits to Microsoft Office documents in Word and Excel.
  • Experience with ProjectWise, Microsoft Teams, and Sharepoint. Experience with Newforma is a plus.
  • Provide broad project assistance for a highly skilled team of cross-sector professionals
  • Work with multiple Project Managers and project teams as needed, with an understanding of basic Project Management Principles
  • Provide Project Managers with support in the local Quality Program by documenting the performance of Management and QC Reviews, generating, and updating the relevant QA/QC documentation, and assisting with the development and maintenance of the project filing structure.
  • Apply company quality assurance guidelines and procedures for project document management. Assist with project guides, project reviews, project invoices, and experience reports as needed


Administrative Tasks

  • Copy and/or scan physical project-related documents in-house and coordinate sending out larger jobs. Compose, type, format, proofread, edit, and organize documents, reports, specifications, and correspondence.

  • Assist in the management, upkeep, and distribution of project schedules.

  • Order insurance and monitor insurance certificates.


Data Management and Analysis

  • Demonstrate understanding of basic accounting concepts including budgeting, planning, tracking, spending and developing spending projections.
  • Analyze accounting information, develop trend analyses, and develop methods for presenting this information.
  • Conduct data collection, management, analysis, and coordination with spreadsheet-based programs.
  • Import and export data for analytic purposes, trend analysis, and other purposes.


Preferred Qualifications

  • Bachelor's degree preferred
  • Highly organized
  • High attention to detail
  • Experience with engineering or architectural firms preferred
  • Advanced knowledge of Microsoft Excel
  • Proficiency in Microsoft Project
  • Familiarity with InDesign and/or PowerPoint

  • A minimum of 1 years related experience
