Apex Systems is seeking a Project Coordinator for a leading provider of safety and specialty services. This individual responsible for supporting the implementer, Concur leader, and the project team. They will support team members and managers on their respective workstreams financial, planning, and reporting activities. They are responsible for developing a solid knowledge of delivery processes and tools. The project coordinator provides support and assistance in scheduling, documentation, budgeting, and communication. Updates the project plan. Assists in information collection and validations. Facilitates collaborative documents and manages the overall project team site. Helps prepare status reports and presentations.
Summary of Responsibilities:
The Project Coordinator's responsibilities include supporting the project manager, program leaders, and program workstream leads, creating executive-ready PowerPoint presentation materials with minimal guidance or supervision, research and analysis/ aggregation of data via MS Excel & PowerPoint, Project Team Site, and performing project administration activities for multiple projects such as scheduling meetings, tracking deliverables, documenting artifacts, and assisting with project documentation.
Skill Set Requirements:
  • Minimum five years of Project Coordinator experience.
  • Solid Smartsheets, PowerApps and Power BI
  • Excellent oral and written communication skills are required.
  • Must have strong knowledge of MS Project, Excel, Word, and Visio.
  • Ability to balance multiple workstreams and competing priorities.
  • Strong collaboration within a team setting.
  • Able to meet strict deadlines and KPIs.
Day-to-day responsibilities:
  • Provides the implementor and Concur project team support and assistance in scheduling, documentation, budgeting, and communication.
  • Facilitates documentation collection from Operating Companies and Countries.
  • Updates the project plan and project presentation artifacts.
  • Develops and manages project communication.
  • Helps prepare status reports and presentations.
  • Budget Controls - Assists with management of portfolio financials, including planning, budgeting, forecasting, variance tracking, and calculating earned value metrics. Establish and conduct operational reporting for management.

  • Exceptional time management and organizational skills
  • Strong analytical skills and aptitude for critical thinking, problem-solving, and decision-making
  • Excellent written and oral communication skills.
  • Effective communication for various stakeholder levels (project team, IT leaders, and business stakeholders).
  • 5+ Years of experience working in a global business environment independently and in teams (including remote and global delivery models).
