The Indiana Geological and Water Survey (IGWS), founded in 1837, has been a research institute of Indiana University (IU) since 1993. Its mission is to provide geological information that contributes to the wise stewardship of energy, mineral, and water resources and mitigates potential geologic hazards. Indiana residents benefit from focused research initiatives, geologic sample and data collection and archiving, and dissemination of information through the peer-reviewed Indiana Journal of Earth Sciences, databases, and outreach programs. Employees work cooperatively across the IGWS Business, Research, and Information Services Divisions to advance long-term research, collection, and service goals. The Survey consists of 35 to 40 geologists of various specialties, geological technicians, archivists, a cartographer, a GIS analyst, an image specialist, a web developer, an editor, and an education and outreach coordinator.

Job Summary

The Indiana Geological and Water Survey (IGWS), a research institute of Indiana University (IU), seeks applications for a Project Management Specialist with expertise in managing multiple projects. We are particularly interested in applicants with contracts and grants experience. All positions are expected to coordinate across the IGWS Research, Business, and Information Services divisions to advance long-term research and collections plans and complement the culture of the Indiana Geological and Water Survey. Interaction with the grant programs of the U.S. Geological Survey, Department of Energy, and state agencies in Indiana will comprise an important part of this position.

Department-Specific Responsibilities
  • Guides project directors through the proposal process for all types of internal and external funding opportunities, including those offered through external contract and grant awards, Indiana University awards and internal IGWS funded projects.
  • Tracks start and end dates, coordinates project meetings, monitors financial expenditures, and ensures timely submission of periodic and final reports for all projects.
  • Provides project reports to Administration.
  • Manages assigned accounts for reconciliation with monthly operating statements.
  • Provides monthly project financials to project directors.
  • Assists employees with purchasing and travel arrangements.
  • Cross trains to assist with back-up for Administrative Business Coordinators as needed.
General Responsibilities
  • Manages a small project, from start to finish, or 1 phase of a large project, ensuring on time completion within budget.
  • Develops project plan(s) and efficiently analyzes, tracks, forecasts, and reports on project metrics and shortfalls.
  • Reports on progress and provides regular updates to upper management.
  • Coordinates and communicates between various areas; conducts project meetings and prepares regular reports.
  • Collaborates with other departments to ensure that project objectives are achieved within established time frames.
  • May provide guidance and support to non-exempt staff.

EDUCATION

Required
  • Bachelor's degree in relevant field
WORK EXPERIENCE

Preferred
  • Experience with Contracts and Grants proposal submission and account monitoring
  • Familiarity with the IU financial management systems
  • Good attendance record and promptness
  • Ability to stay effectively organized, multitask, and work under deadline pressures
  • Experience with project management software applications, Microsoft Office suite, specifically Excel and Teams.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

This position is eligible to work a hybrid schedule (mix between 1 remote workday and 4 in-person workdays), subject to change in the future based on university policy and business needs.
