Overview

Under the direct supervision of the Director of Facilities and in close collaboration with the Chief Engineer, departmental Managers, Nursing Informatics, and other relevant stakeholders, you will spearhead the leadership of critical suite of facilities projects within our organization.

Your Responsibilities:
  • Efficiently coordinate internal resources and external vendors to ensure seamless project execution.
  • Prioritize project Safety and Security measures, with meticulous oversight of Infection Prevention (ICRA) protocols throughout project implementation.
  • Guarantee timely, within-scope, and budget-compliant project delivery.
  • Play a pivotal role in crafting project scopes and objectives, engaging all pertinent stakeholders, and ensuring technical viability.
  • Optimize resource allocation and availability for project success.
  • Develop and maintain comprehensive project plans to meticulously track progress.
  • Employ effective verification techniques to manage changes in project scope, schedule, and costs.
  • Gauge project performance through appropriate systems, tools, and methodologies.
  • Provide timely reporting and escalate pertinent matters to management as required.
  • Cultivate and manage strong relationships with clients and all project stakeholders.
  • Implement robust risk management strategies to mitigate project risks.
  • Foster enduring partnerships with third-party vendors to bolster project outcomes.
  • Uphold meticulous documentation standards to ensure project transparency and accountability.


Responsibilities

As the Project Manager overseeing facilities projects, you will play a pivotal role in guiding project development and ensuring adherence to established standards and hospital policies. Your responsibilities include:
  • Developing comprehensive project documents such as charters, budgets, project plans, issues lists, training plans, and status reports to outline expected deliverables, expectations, and assumptions.
  • Providing guidance and coaching to project leaders to ensure compliance with acceptable standards and hospital policies throughout all project phases.
  • Collaborating closely with applications vendors and facilities resources to identify and mitigate issues and risks related to project task sequencing, critical path events, resource commitments, and potential delays, aiming to achieve optimal functionality and cost efficiency.
  • Coordinating communication of project status, key capabilities, risks, issues, and milestone acceptance to key stakeholders and assisting in conflict resolution as needed.
  • Developing or facilitating the development of Request for Information (RFI) or Request for Proposal (RFP) documents, as well as preparing documentation for vendor questionnaires, functional or technical specifications, demonstrations, and site visits.
  • Documenting and facilitating the setting of customer expectations and priorities to evaluate vendor responses and facilitate vendor selection.
  • Documenting required staffing for project implementation and ongoing support phases, ensuring staffing is budgeted, approved, or contracted as necessary.
  • Collaborating with the facilities management team to recommend adjustments to the yearly capital or multi-year strategic plan to the Director of Facilities.
  • Partnering with project sponsors to identify project workflow and business process impacts, along with conducting cost and benefit assessments.
  • Ensuring the existence of operating procedures, including downtime and extended procedures, for each impacted area.
  • Overseeing and implementing infection prevention (ICRA) protocols.
  • Attending steering committee meetings and other leadership meetings to provide project status updates and facilitate decision-making.
  • Maintaining an understanding of application capabilities and providing guidance to departments on exploring advanced and more effective use of technologies and applications.
  • Understanding interdependencies of contractors and recommending adjustments in project plans accordingly.
  • Communicating effectively with all team members, project stakeholders, vendors, departments, and medical staff associated with projects.
  • Performing any other duties as assigned to meet the goals and objectives of the department and institution.
