Radiology Scheduling Coordinator

Who you are

The Radiology Scheduling Coordinator is responsible for managing and coordinating all patient scheduling activities for radiological exams and procedures. This position involves direct communication with patients, healthcare providers, and radiology technicians to ensure seamless appointment management, preparation, and follow-up for radiology services.

What you'll do

Appointment Scheduling:
    • Schedule radiology exams, including MRI, CT, X-rays, ultrasound, and other diagnostic imaging procedures.
    • Verify patient demographic and insurance information prior to scheduling.
    • Coordinate with physicians' offices to ensure proper authorization and medical necessity for imaging procedures.
  • Patient Communication:
    • Provide patients with detailed information regarding their imaging appointment, including instructions on preparation and any necessary pre-appointment steps (e.g., fasting, contrast, etc.).
    • Answer patient inquiries via phone or email, addressing questions about radiology services, procedures, and appointment logistics.
  • Collaboration:
    • Work closely with radiology technicians, radiologists, and clinical staff to ensure accurate and efficient scheduling.
    • Communicate with other departments to ensure patients receive any necessary pre-procedure evaluations (e.g., lab work, consultations).
  • Record Management:
    • Enter and update patient information in the scheduling system, ensuring accuracy and completeness.
    • Monitor daily, weekly, and monthly schedules, making adjustments as needed to accommodate urgent or emergency cases.
    • Track patient attendance and follow up on missed appointments to reschedule.
  • Insurance and Billing Support:
    • Verify insurance coverage and benefits prior to the patient's radiology exam.
    • Obtain pre-authorizations or referrals when necessary, and work with billing teams to address any insurance-related concerns.
  • Customer Service:
    • Provide exceptional customer service, ensuring patient satisfaction with scheduling processes and radiology services.
    • Handle any patient complaints or issues professionally, escalating to supervisors when needed.
  • Quality and Compliance:
    • Ensure all scheduling complies with department and hospital policies, as well as state and federal healthcare regulations (e.g., HIPAA).
    • Assist in maintaining a smooth flow of operations within the radiology department.


Qualifications

What you bring

Education:
    • High school diploma or equivalent required.
    • Associate's or Bachelor's degree in healthcare administration or a related field is a plus.
  • Experience:
    • Previous experience in a medical office or healthcare scheduling role, preferably in radiology.
    • Familiarity with radiology terminology, imaging procedures, and scheduling software.
  • Skills:
    • Excellent communication and customer service skills.
    • Strong organizational and multitasking abilities.
    • Proficient in using healthcare scheduling software and electronic medical records (EMR) systems.
    • Ability to work in a fast-paced environment with attention to detail.
