Responsibilities

  • This position will assist the Assistant Director by being responsible for the coordination of administrative, programmatic, and operational activities pertaining to research for the Department of Behavioral Sciences and Social Medicine in the College of Medicine.
  • Monitors the progress of research activities; develops and maintains records of research activities, and prepares periodic and ad hoc reports, as required by investigators, administrators, and Chair of the department. P-Card holder for the department.
    Responsible for research procurement and fiscal activities supporting BSSM contract and grants. Independently conducts research as appropriate for projects or initiatives within BSSM. Assist in Coordinating with Grants Compliance Analyst for submission of reports to funding agencies. Assist grants compliance analysts with budgeting and reporting.
  • Coordinates and assesses administrative, programmatic, and operational activities of Faculty. This position will assist the Principal Investigator, project leads, and project teams with all aspects of research by coordinating and supporting daily operation of projects, internal grants, and start up labs. Ensures the smooth and efficient day-to-day operation of research support; acts as the primary administrative point of contact for internal research staff, research accounting Principal Investigators and research lab student volunteers. This position will assist in the management of the project leads' contract and grant related communication with FSUCOM faculty and staff to discuss and make progress toward grant objectives.
  • Plans and coordinates administrative research support with Program Manager compiling data, funding changes, and informing Grant Compliance Analyst to meet HR contract and grants guidelines. Provides direct assistance to COM Administrative Services and research accounting regarding employee appointments. Makes decisions that directly affect the electronic personnel action forms (ePAFs). Submits ePAFs for the department. Point of Contact for Principal Investigators and research lab student volunteers.
  • Processes foundation disbursements, purchase orders and memberships, ensuring all documents are prepared, signed, distributed, and meet deadlines in accordance with FSU policies and procedures. Responsible for preparing, compiling, and maintaining records used to track purchasing and travel activity. Utilizes MyFSU/OMNI for processing invoices and reimbursements. Communicates directly with vendors and sales representatives during the procurement process. Serves as the travel rep for contract and grant, submits travel authorizations, gathers documentation and submits reimbursements. Makes all necessary travel arrangements to include hotel, flights, car rentals, etc. for faculty in accordance with FSU policies and procedures ensuring travel arrangements and reimbursements are processed in a timely manner.
  • Manages Florida Blue Center for Rural Health financials, monitors and controls budgets and contracts of COM Student Rule community experience.
  • Promotes an atmosphere of teamwork in accomplishing the mission and goals of the Department of Behavioral Sciences and Social Medicine to include participating in the delivery of support services for special projects, scheduled events or in meeting key departmental deadlines.

Qualifications

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Must have a valid Florida or Georgia Driver's License, or the ability to obtain prior to hire.

This position requires successful completion of the eSPEAR Certification or ability to obtain the certification within 6 months of hire.

  • Experience in performing basic mathematical calculations.
  • Experience in prioritizing, organizing and performing multiple work assignments simultaneously.
  • Experience in maintaining accurate records and retrieving files from active or archive sources.
  • Basic filing practices to include numeric and alphabetic systems.
