Job Description
POSITION SUMMARY
Responsible for receiving, distributing, restocking, cycle-counting, and additional primary and secondary Supply Chain tasks as assigned, when providing the highest level of professional customer service to internal customers. When needed, assist assigned departments to achieve product standardization, optimum inventory levels and reduction of operating expenses, efficiently and in a cost-effective manner. To provide world class quality, competitive value, and outstanding service through effective materials management of programs in supply logistics, inventory management, computer support, and supply channel management to clinical departments. Assist assigned departments through action and education to achieve product standardization, optimum inventory levels and reduction of operating expenses.
PRIMARY ACCOUNTABILITES
1. Receive incoming freight and put away accordingly. Scan packing slips to PO. Responsible for warehouse restock, inventory, and cycle-count and transport supplies to appropriate locations. Audit and verify transactions while informing supervisor of exceptions. Rotate stock as prescribed and monitor for expired items
2. Develop and implement inventory control procedures for optimal accuracy. Maintains high level of accuracy in the Distribution Center ensuring all material is placed into proper location, correct quantities, material rotation is applied, and items are pulled to fill customer orders. Ensure cycle count methods are exercised to comply with quality control guidelines. Evaluated by number of errors
3. Reduce inventory loss attributed to damage or obsolescence. Perform warehouse maintenance of assigned aisles to ensure accuracy and cleanliness, and removal of all excess supplies and debris. Comply with dated item policies and procedures, ensure quarantined items are stored, and perform cycle counts for accuracy
4. Maintain policy/procedure and guidelines from The Joint Commission and AHCA, related to ordering, receiving, unpacking, delivery of authorized medications and supplies to patient care and ancillary areas according to delivery schedules. Maintain housekeeping requirements cleaning shared areas and organize department after daily operations and monitor and record temperature/humidity conditions.
5. Understand and ensure compliance with Restricted Prescription Drug Distributor requirements as defined by The Florida Drug and Cosmetic Act, Chapter 499, and Florida Statues, including Rx Drug distribution policies and procedures, defined by Chapter 499, Florida Pedigree Law. Receive, store, inventory, distribute dispose, maintain records, and process recalls/withdrawals in accordance with applicable statues.
6. Maintain safety by conducting daily vehicle inspections and perform minor maintenance as needed when utilizing vehicles for pickups and deliveries to supported customers and organizations. Safely utilize pallet jacks, hand trucks, furniture dollies and other moving equipment. Operate various, large materials handling vehicles including sit down forklift, reach truck, riding floor sweeper/scrubber, and order picker to support Distribution Center operations in 78,000 square feet facility.
7. Demonstrate safe handling, transport, and temporary storage of packaged medication items (i.e., boxed items, bulk packages, associate prescription bags). Associate can manage, safely store, and transport medication packages from one secure location to another secure location within the organization.
8. Receive, store, pull, and deliver departmental and medical records in accordance with established procedures. Utilizes PeopleSoft Warehouse Management System to establish inventory, assign warehouse locations, pull files from inventory, and receive receipt signatures for delivered files. Assign file destruction dates in accordance with Health First Records
9. Become familiar with record's management policy, procedures, and laws to ensure compliance with Management Policy & Procedure; properly and accurately select and pull files for destruction.
10. Actively participate in the department's continuous quality improvement (CQI) activities pertaining to inventory management responsibilities.
11. Perform advanced work assignments and other duties as directed by the Distribution Supervisor in accomplishing daily activities including accomplishing work assignments and ensuring uninterrupted customer service
12. Demonstrates the safe handling, transport, and temporary storage of packaged medication items (i.e., boxed items, bulk packages, associate prescription bags). Associate can manage, properly store and transport medication packages from one secure location to another secure location within the organization.
Qualifications:
MINIMUM QUALIFICATIONS
o Education: High school diploma or equivalent (GED) education is mandatory.
o Work Experience: 2 years minimum and 5 years preferred hospital related experience involving selection, procurement, distribution, or inventory control of medical/surgical supplies.
o Licensure/Certification: Maintains a valid Florida driver's license and safely operate pickup, vans, and various trucks up to 26 feet in length. Ability to operate sit down forklift, reach truck, and stock picker.
o Skills/Knowledge/Abilities:
o Basic Computer Skills to perform business activities (E-mail, correspondence, etc.)., and Handheld Terminals, and Office Automation software related to role
o Operate and support PeopleSoft and essential IT operations and improvements including downtime strategy and data entry
o Accept close supervision, work quietly and efficiently, and freely accept constructive feedback concerning job performance without resentment.
o Perform basic mathematical calculations.
o Communication skills, both verbal and written.
o Respond quickly to customer concerns regarding availability/status of supply orders.
o Handle constant interruptions with poise and professionalism.
o Work effectively with all levels of management and associates
PREFERRED QUALIFICATIONS
• Education: Associate degree from an accredited school in Business Administration or related discipline
• Experience: Five years hospital related experience involving selection, procurement, distribution, or inventory control of medical/surgical supplies
• Skills/Knowledge/Abilities:
o Knowledge of warehousing and inventory management MMIS systems.
PHYSICAL DEMANDS
• Considerable stooping, squatting, lifting, pushing, pulling heavy weights, awkward and bulky boxes, crates, using carts, pallet jacks and other box lifting mechanisms/conveyances.
• Must be able to endure frequent lifting/ pulling of items weighing up to 50 pounds unassisted, 3-4 times per hour.
• Ability to stand and walk for 6-8 hours per day.
• Operation of several types of manual and motorized equipment used in the transportation of materials.
• May require moving self in different positions to accomplish tasks in various environments including tight and confined spaces, including reaching out and above shoulders or over head
• May be exposed to inside and outside environments with varied temperatures, air quality, lighting and/or low to loud noise
• Visual acuity and hand-eye coordination to perform tasks
