The Phoenix Police Department's Community Engagement Bureau is seeking a Secretary II. The Secretary II position performs skilled secretarial and general clerical work that requires typing, filing, and other related functions.

Duties include, but are not limited to:
  • Answering telephones and routing calls to appropriate staff.
  • Greeting visitors and directing them to the appropriate persons according to their needs.
  • Typing documents from clear copy, rough draft, or hand-written notes using a computer.
  • Proofreading and editing documents for correct spelling, grammar, and format.
  • Establishing and maintaining paper and electronic filing systems for records.
  • Scheduling meetings or interviews, booking conference rooms, and maintaining a computer calendaring system.
  • A Secretary II may work alone in a small office, or as part of a team in a centralized secretarial operation.

    • Working within the community for community outreach events.
  • Spanish proficiency is desired though not required.

SALARY

Pay Range: $15.69 to $25.56 per hour.

Hiring Range: $15.69 to $21.02 per hour.

MINIMUM QUALIFICATIONS

  • Two years of secretarial experience, including training in office productivity software and the use of modern office equipment.
  • Other combinations of experience and education which meet the minimum requirements may be substituted.

  • All finalists for positions are subject to a criminal background check applicable to the department or position.
  • Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

PREFERRED QUALIFICATIONS

The minimum qualifications listed above, plus:
  • Experience with/in:
    • Using software such as Remedy force and Visual Homes.
    • Answering a high-volume of telephone calls and greeting customers.
    • Microsoft Office products (Word, Excel, Access, Outlook).
    • Performing procurement functions, accounts payable functions, and tracking contracts.
    • Using SAP/SRM.
    • Proofreading and editing documents for correct spelling, grammar, and format.
    • Frontline reception.
    • Scheduling, booking rooms, and maintaining calendars.
    • Keeping inventory and ordering office supplies
    • Managing electronic files.
    • Organizing and submitting reports.
