Seeking a highly motivated and organized Design Coordinator to assist with project administration and external consultant management. This position will be part of the World Wide Growth & Development team, where everyone on the team needs to be entrepreneurial, wear many hats and work effectively in a highly collaborative environment. You are the right person for this role if you have a strong understanding of finance, are customer focused and have a passion for producing high-quality work. You must be a self-starter, creative, and a critical thinker with an intense curiosity and drive for learning. You must demonstrate the ability to efficiently plan and prioritize all deliverables and resources across multiple projects. This position requires you to manage schedules, purchase order, contracts, budgets, additional service requests, and permits. You will work closely with internal teams and external consultants and will make decisions and find solutions quickly and with confidence. You are the right person for this position if you take ownership of your work, display a great deal of initiative, are able to look around corners, and utilize sound judgment.

Key job responsibilities

• \tResponsible for creating and sending requests for proposals (RFP) for multiple architectural and engineering consultants

• \tResponsible for reviewing, responding to and approving proposal requests

• \tCreating and tracking purchase orders and invoices

• \tManaging monthly reporting for consultant fees on a per project bases

• \tManaging add service proposal requests and tracking PO contingency accordingly

• \tManaging requests for all architectural and engineering consultant legal contracts

• \tAssisting with tracking project schedules within the store design studio and communicating out to consultants

• \tManaging and tracking capital funding requests with finance teams

• \tAssist in tracking permit status for projects

• \tSetting up new payment accounts for new consultants and vendors

• \tLiaising with the A/P department in regards to invoices, supplier holds and cost discrepancies

• \tParticipating in the continuous improvement of processes and implementation best practices to maximize efficiency for the team

• \tModifying, creating, and distributing reports for project schedules to consultants

• \tAssisting designers in tracking LL reviews and approvals per project

• \tSending and tracking approvals for schematic design and design development packages on a weekly basis

• \tSupporting NDAs, Procore access and customizing Smartsheet reports

BASIC QUALIFICATIONS

- 6+ years of design experience

- Have an available online portfolio

- Experience understanding needs of business and end customers and translating them into right solutions

- Experience gathering and analyzing large amounts of data and delivering continuous business improvements

PREFERRED QUALIFICATIONS

- Knowledge of project management tools and methodologies (agile to waterfall)

- Experience working and contributing to project playbooks, building schedules, managing issues/risks, establishing communication plans and stakeholder management

Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from $116,500/year in our lowest geographic market up to $192,600/year in our highest geographic market. Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience. Amazon is a total compensation company.
