Essential Job Functions

The Senior Digital Assistant Production Assistant is responsible for providing consistent seamless world class service to all Kirkland Personnel. They should project that they are an expert in digital imaging and printing. They will be responsible for providing a wide variety of document reproduction services including copying, printing, scanning, and media duplication. The senior assistant must have extensive experience working in a large-scale document production environment. Strong computer skills are required including an extensive working knowledge Microsoft Office Suite (Word, Excel, PowerPoint, and Access), and Adobe applications. Familiarity with scanning platforms and Canon multi-functional devices is preferred.

In addition to the technical skills, the Senior Digital Services Assistant must have strong communication skills, both written and oral. The senior assistant must be customer service oriented and extremely responsive to customer questions and concerns. The position requires one to be flexible, positively accepting of new challenges, committed to project management and production quality. The ideal candidate must be able to problem solve and have a strong attention to detail, outstanding organizational skills, a high degree of concentration, patience, professionalism, and the ability to multi-task, within a fast-paced work environment. The senior assistant may as act as a back up to the Mailroom when short staffed. They must be a motivated self-starter, work independently and in a group environment. The ability to lift and/or carry 50 pounds and spend long periods of time standing is required. Prior experience in a law firm service center where mail, print and facilities work were performed is required.

ESSENTIAL FUNCTIONS

Customer Service
  • Ensure the highest level of customer service is provided
  • Assist walk-in customers, answer incoming phone calls, and monitor the department email account
  • Access incoming projects and ensure that the customer's desired output is produced (instructions, quality, deadline.)
  • Offer advice, guidance, and suggestions to staff to ensure efficient use of the department services and capabilities
  • Inform customers about the status of their projects
  • Ensure on-time delivery and accuracy of all completed work requests
  • Coordinate internal resources and/or vendor services as needed to meet customer needs
  • Partner with Mailroom staff to ensure completed requests are handle appropriately and sent out or delivered as requested to ensure deadlines are met

General Production Tasks
  • Operate production printers, scanners, and copiers
  • Stock convenience centers with paper and supplies
  • Cross train employees in all areas of document production, project management, and departmental functions
  • Troubleshoot and maintain production equipment
  • Support financial results by minimizing waste and rework, utilizing equipment and supplies in a cost-effective manner
  • Project manage large production requests giving requestor frequent updates on progress
  • Develop and/or lead change management efforts across all phases of projects and initiatives to drive the Firm's culture of continuous improvement.

Scanning/Imaging
  • Complete various scan projects and requests using high-volume production MFDs
  • Prepare, scan, and reassemble original documents
  • Send scanned images via email or desktop for processing, conversion, clean-up, naming, and storage
  • Scan color documents and photographs
  • Diagnose and correct image quality problems
  • Check document quality before, during, and after project production
  • Convert file formats
  • Create single and multi-page TIFF files
  • Perform OCR on images to make searchable or convert to editable format
  • Index, store, retrieve electronic documents on mass storage devices, network drives, and Document Management System

Printing
  • Complete various black and white and color print requests using high-volume production MFDs
  • Print application (.doc, .xls, .mpp, .vsd, .htm) and image (.pdf, .tiff, .jpg) files
  • Print email messages and attachments from media and email links (.pst, .nsf)
  • Format documents for printing
  • Configure job processing software and applications to manage job queues, process files, and print jobs
  • Diagnose and correct print quality problems
  • Perform quality control checks on print jobs including print quality, job alignment, paper stock and material used in the printing process

File Processing, Conversion and Storage
  • Convert application files to PDF image files
  • Use OCR software to convert image files to editable word processing files
  • Convert compressed files (.zip, war) to application or image files and print or return via email
  • Store documents onto electronic media (CD, DVD, thumb drives, hard drives)
  • Encrypt electronic media and documents

Qualifications & Requirements
  • Associates degree or post-High school technical training preferred; High school diploma required
  • Minimum of five (5) years' experience in a production document processing environment
  • Previous law firm service center experience where digital services, mail and facilities was performed is required.
  • Minimum of three (3) year direct customer service experience
  • Computer literacy including technical familiarity with printing, imaging, Microsoft operating systems and applications
  • Ability to operate large centralized reprographic equipment
  • Effectively communicate both verbally and in written format with customers and firm staff
  • Ability to lift and/or carry up to 50 pounds and spend long periods of time up to four (4) hours standing
  • Ability to work overtime as required by workload, staffing, and customer needs with little or no notice
  • Ability to type 50 words per minute with accuracy
  • Proven change management skills

Technologies/Software
  • Microsoft Outlook, Word, PowerPoint, Excel, DMS, OCR, Adobe, and various scanning platforms

The base salary range below represents the low and high end of the salary range for this position. This range may differ based on your experience and skill set, geographic location, and cost of living considerations. At Kirkland & Ellis, we consider compensation more than just a base salary.
