JOB SUMMARY:

The Special Events Coordinator will assist the Special Events team with the planning of all special events including but not limited to the Annual Patriot Golf Classic, ground breakings, grand openings, partnership affiliations, scholarship events, homecoming, Presidential events, events intended to cultivate or steward donors, and other signature events.

MAJOR RESPONSIBILITIES / DUTIES / CRITICAL TASKS:
• Assists with coordinating all facets of the University's major events, including managing committees and volunteer groups as assigned.
• Responsible for performing a variety of office functions of an advanced and complex nature centering around day-to-day event planning activities associated with Special Events.
• Creates room layouts and coordinates event planning, set-up, and breakdown.
• Finalizes and communicates event details with vendors & technology service.
• Maintains event calendar.
• Creates a variety of correspondences and invitations and serve as primary point of contact for RSVPs.
• Handles follow-up correspondence as needed and coordinates events' accounts payable with the appropriate administrative support point of contact.
• Monitors expenditures against event budget and maintains accurate accounting records.
• Other duties as assigned.

ACCOMPANYING KNOWLEDGE, SKILLS, ABILITIES AND COMPETENCIES:
• Skilled in the use of computers and office software packages (such as Excel, ASANA, and Raiser's Edge).
• Able to understand and carry out oral and written instructions.
• Able to clearly communicate both orally and in writing.
• Able to make decisions based on knowledge of departmental procedures.
• Able to establish and maintain working relationships with students, staff, faculty, and vendors. Able to work with minimal supervision.

Qualifications

REQUIRED EDUCATION / EXPERIENCE:
• Bachelor's degree required.
• Three (3) years of experience in event coordination, planning and execution of events in a development/ fundraising, university, nonprofit or corporate business environment.
• A combination of education and experience may be accepted.
