What You'll Do

This position works in a team with the academic program manager, providing general student services support. The student services coordinator also supervises undergraduate interns who
provide office support. Reporting to the chief administrator, the student services coordinator is a significant and integral part of the EARTH core administrative team. Working together with the academic program manager, this person also helps manage the operations of EARTH's graduate and undergraduate programs, including curriculum, answering student questions, compiling data, and maintaining important records.

Student Services Support
  • Together with the academic program manager, provide support for the academic programs of the department
  • Serve as the primary point of contact for the undergraduate program, assisting the associate chair for curriculum and undergraduate studies
  • Maintain thorough records of student data for undergraduates (e.g., major/minor, advisor)
  • In partnership with the associate chair and academic program manager, maintain the department's curriculum, including
    • Put together each semester's time schedule and course guide
    • Order teaching evaluations
    • Manage section capacities and issue course overrides
  • Support faculty-led field trips: collect student lists and data, coordinate travel bookings, liaise with relevant LSA offices for international field trips, etc.
  • Liaise with LSA/UM to manage undergrad program, including the annual Major/Minor Expo, undergraduate education group meetings, and provide the Advising Center with relevant information


Office Administration
Under the direction of the chief administrator, provide administrative support and supervise undergraduate interns who provide general office support:
  • Arrange travel and lodging for department visitors including weekly guest speakers, prospective graduate students, prospective faculty, and field trips
  • Provide backup support for an executive coordinator and academic program manager
  • Provide backup support to the building manager and undergraduate interns in coordinating package delivery
  • Receive and log checks, coordinate pickup by Business Office
  • Support meetings and events: reserve and set up rooms and AV equipment, manage catering orders and food set-up, etc.
  • Monitor main department email, answering questions and forwarding as appropriate
  • Supervises undergraduate interns who:
    • Serve as a first point of contact for faculty, staff, and students who have questions and need support or services
    • Provide reception services such as phone answering, wayfinding, and package acceptance
    • Maintain a supply inventory, stock, and initiate purchases for office and copier/printer supplies
    • Collect and distribute mail within the North University Building and other locations on central campus

Required Qualifications*

  • Associate degree or an equivalent combination of experience
  • 4 or more years of relevant experience
  • Proficiency in office productivity tools such as Google Workspace and MS Office
  • Demonstrated success in a fast-paced, professional office environment
  • Excellent communication and analytical/problem-solving skills, high attention to detail, and ability to work independently, taking initiative and exercising discretion as
    appropriate
