QUALIFICATIONS
Provides professional architectural services for design and construction on all architectural work as it relates to remodeling, renovation and new construction projects within Baylor Scott & White.
ESSENTIAL FUNCTIONS OF THE ROLE
- Initiates communication with client of newly assigned project within 3-5 days of assignment.
- Meets with client within 2 weeks of assignment to commence knowledge of scope, budget, timeline and expectations.
- Regulates whether project should be outsourced or will stay within the department. If outsourced, initiates contact with all pertinent consultants and vendors in a timely way.
- Initiates Project Management File and Project Summary and maintains the summary and keeps it current throughout the duration of the project.
- Establishes projects' financing source and receives project number in a timely way.
- Meets the expectations of the project assignment in a timely way.
- Maintains regular, concise, and complete communication with projects' client and other team members.
- Works with all Project Team members (client, consultants, contractors, vendors and other pertinent BSWH departments) to deliver the project that meets the clients needs while remaining within budget and time.
- Delivers projects within the constrain of all applicable BSWH policies, procedures and standards, agency requirements, city codes, and JCAHO requirements.
- Works with pertinent BSWH departments and coordinates efforts to ensure their timely input and reviews and ensures that their specific requirements are included in the project and that their requirements meet the needs of the user and can be delivered within the projects budget and timeframe.
- Presents projects' program to client in a timely, clear and concise way.
- Works with project team to design and develop projects that meet their needs and expectations while remaining within the space, budget and time constraints of the project.
- Coordinates the preparation and presentation of final construction documents, prepared in Auto CAD, that include details, drawings, schedules and specifications that accurately and completely represent the clients needs and expectations while remaining within the space, budget and time constraints of the project.
- Provides feasibility studies, preliminary, schematics, cost estimates, schedules and other related data as required in a timely, clear and concise way.
- If applicable, prepares Auto CAD documentation in a complete, clear and timely way representing the project's scope and expectations while using established CAD standards and other criteria.
- Negotiates and solicits bids and contracts from consultants and vendors that will best achieve the required results in a timely and cost-effective way.
- Effectively manages the progress and costs of the consultants and vendors holding them accountable for fulfilling contract terms.
- Effectively manages the professional and strategic relationships with consultants and vendors to build long-term, successful, and cost-effective partnerships beneficial to BSWH.
- Serves a liaison for BSWH and consultants in a professional way.
- Reviews and approves consultant and vendor invoices and forwards for proper disposition in a timely way.
- Ensures that all professional services delivered in-house are completed in a timely and cost-effective way.
- Coordinates with pertinent BSWH departments or BSWH affiliated departments to ensure that the requirements of their departments (IS, Safety, IC, Engineering) are included in the contract documents and that these departments are given timely opportunities to review documents and inspect construction for completeness and accuracy of their requirements.
- Ensures that all services of in-house departments pertinent to projects is delivered in a timely way and that these services meet the time and budget goals and expectations of the project and meet the needs of the client.
- Coordinate the activities of the in-house construction staff associated with project help and ensures that their activities are completed in a timely and cost-effective way.
- Reviews and approves any invoices associated with in-house services or requirements and forwards for proper disposition in a timely way.
- Ensures that all items on the projects' punch list are completed satisfactorily and in a timely way.
- Ensures that all required close-out documentation is received from consultants, contractors and vendors in a timely way and that this documentation is properly disposed of following required procedures.
- Coordinates the final reconciliation of the projects' budget with BSWH Financial Accounting and is reported to client in a timely way.
- Ensures that all final project costs and timeframes are accurately documented on the Project Tracking Forms and Project Summary
- Coordinates a project close-out meeting with Project Team.
- Ensures that all invoices and applications for payment and retainages are paid and closed out in a timely way.
KEY SUCCESS FACTORS
- Knowledge of AutoCAD, MS Office, MS Project.
- Able to manage all tasks of a Design and Construction project from start to finish.
- Five to seven years project management of Healthcare projects preferred.
- Project Management, Design and Construction experience.
