Job Description

POSITION SUMMARY:

To be fully engaged in providing No Harm/ Quality, Memorable Patient/Customer Experiences, and Stewardship by providing exceptional administrative support to the assigned department and appropriately coordinating projects necessary to support the department.

PRIMARY ACCOUNTABILITIES:

Engagement:

  • Associate supports engagement through adherence to the Health First I CARE values.


Quality/No Harm:

  • Pre-registers, pre-certifies and registers patients accurately and in a timely manner, with no incomplete information, including right patient, right procedure.
  • Assembles charts accurately, labels with correct patient name, correct orders and other various records, correct charge information on chart.
  • Assists with maintaining a clean work area.
  • Shows commitment to individual and departmental Continuous Quality Improvement and organizational operational effectiveness.
  • Prints, sorts, and organizes paperwork, reports and/or materials to be sent out.
  • May assist with data entry into reports, creation and maintaining of databases, spreadsheets, and other documents using a variety of software applications.
  • Request materials, checks, or information, logs receipt appropriately per department guidelines. May be responsible for mail pickup and dating mail received.
  • Orders and maintains adequate amount of medical and office supplies. May maintain documentation of service on equipment and reports all malfunctions of equipment to the appropriate area, supervisor and/or associate.
  • Processes and maintains all schedules for area of responsibility, runs schedules daily, and sends to appropriate departments and/or individuals in a timely manner. In a professional manner, communicates accurate data to other departments and external physician offices a required, regarding schedule changes.
  • May assist with completion of paperwork, processing of paperwork, materials or patients and responsible for filing, retrieving materials from existing files, and creating new files when appropriate.
  • Assists with area clerical duties such as typing, photocopying, filing, scanning and faxing documents, medical records, reports and other materials.


Customer Experience:

  • Provides general reception duties.
  • Greets and assists customers in a timely and courteous manner and public, physicians, outside businesses, and other departments.
  • Directs calls to the appropriate party and transfers the call when appropriate. Takes complete and accurate messages for area personnel not available.
  • Documents if needed in patient file.
  • Responds to phone messages in a timely manner.
  • Introduces self and wears name badge.


Stewardship:

  • Demonstrates ability to share workload evenly and complete work in a timely manner, while increasing productivity as needed to meet patient volumes.
  • Demonstrates dependability, reliability, and flexibility.
  • Demonstrates ability to work with money, credit cards, and checks to collect appropriate Co-Pays, payments and log receipt appropriately. Ability to explain to patients their financial commitments.


Qualifications:

QUALIFICATIONS REQUIRED:

  • Education:
    • 1-2 years Certified Administrative Professional
    • Or two-year associate degree and 1 year of experience in either clerical role or healthcare environment
    • Or two years' experience in healthcare environment or clerical role.
  • Experience:
    • Typing requirement of 40 words per minute.
    • Knowledge of Medical Terminology preferred.
    • Ability to use or operate computer, copy machine and fax machine.
  • Language: Must be able to speak/understand written and verbal instructions in the English language.

  • Ability to sit or stand for long periods.
  • Alpha skills for filing.
  • Ability to bend and stoop to perform job.
  • Ability to meet additional demands and lifting requirements as defined by the department.

  • Ability to manage multiple tasks during a workday.


COMPETENCY ASSESSMENT/SKILLS CHECKLIST:

  • Must meet the Department Office Assistant Scheduler competency assessment/skills checklist requirements within 3 months of employment and annually.
