Schedules surgical procedures for Skagit Regional Health hospitals and ambulatory surgery locations in accordance with established guidelines. Assists with provider offices with scheduling procedures, compiles and provides statistical data for Skagit Regional Health Surgical Services Leadership regarding surgical suite utilization and operational metrics to facilitate analysis of operating room usage, assignment and management. Compiles and provides statistical quality data for Skagit Regional Health Surgical Services leadership as requested. Provides clerical and scheduling support for department. Works effectively and cooperatively within the workplace. Location/Department specific tasks and competencies may apply. May assist in collecting and tracking charging forms for durable medical equipment used in Surgical Services. Assists in communicating, tracking Anesthesia scheduling and Anesthesia resource allocation for Surgical Services at Skagit Regional Health. May be expected to float between acute care hospital facilities.

Essential Functions
Schedules surgical procedures and facilitates communication via scheduling system with Implant Coordinator, Charge Nurse, PAT Nurse and Resource Nurse pertaining to required supplies and equipment for scheduled procedures. Assists provider offices with scheduling procedures. Collects patient demographic information. Prepares and distributes provider and staff call schedules. Maintains the electronic surgical journal. Develops, updates and revises surgery schedule as needed. Utilizes EHR reporting tools to create, run, evaluate and distribute surgical services OR suite utilization and operational metrics data for Skagit Regional Health. Maintains proficiency in Microsoft Office including Excel, Outlook and PowerPoint and department specific software applications to perform work including creating and maintaining tables, databases, reports, spreadsheets, etc. as needed. Assures that surgical information is accurate and complete and submitted via the computer system to all surgical areas and other department requiring notification, accepts and documents all special requests. Verifies all requests for specific anesthesiologists and monitors anesthesia schedule for any conflicts, assures effective utilization of the surgical suites and anesthesia time/procedures. Utilizes and maintains the standby schedule to replace patient canceled from the daily schedule, communicates planned schedule changes and coordinates requested support services such as imaging. Verifies surgery schedule, including patient admission status, in all surgical areas. File and document all information appropriately in the patient's EMR chart. Act as a liaison between Skagit Regional Health Surgical Services and provider offices. Provide general clerical support to department. Prepares, delivers and circulates a variety of daily surgery schedules to all applicable departments. Answer and direct telephone calls in a professional and courteous manner. Order and stock clerical supplies, as directed. Assist with training new staff members as needed. Communicate effectively and cooperatively in the workplace. Actively contribute to the achievement of Quality Improvement and Lean Process Improvement activities. Complete all mandatory learning requirements in a timely manner. Maintain current licensure and/or certification as required. Attend and actively participate in all department, team and/or committee meetings and recording minutes as requested. May be expected to float between acute care hospital facilities. Comply with all Skagit Regional Health, department and location specific policies and procedures. Perform other duties as assigned by Supervisor or designee.

Education
High School diploma or GED required. Associate Degree or Business School certificate preferred.

Experience/Training
Minimum of (6) month's clerical experience in a healthcare setting required. Previous experience in Surgical Services preferred.

License/Certifications

Other Skills
Effective verbal, written and interpersonal communication skills required. Must possess excellent computer skills including but not limited to the ability to effectively utilize Microsoft Office applications to perform work including producing reports in Excel, PowerPoint, managing appointments in Outlook. Intermediate to Advanced experience and proficiency in Excel, working with pivot tables and formulas is required. Well-developed problem solving and analytical skills required. Must be able to effectively prioritize workload amongst frequent interruptions with competing priorities. Knowledge of medical terminology required. Ability to coordinate work schedule with requirements of position (may include overtime and weekend work).

While performing the duties of this job, the employee is regularly required to sit for long periods of time; when working in office. Repetitive tasks such as typing, sitting, answering phones, and interacting with computers and computer systems most of the day is a function of the position. This position is very active and requires standing, walking, bending, kneeling, stooping, and crouching all day. The employee must frequently lift or move objects weighing over 20 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to focus.
