GENERAL SUMMARY/ OVERVIEW STATEMENT:

Under general direction of the Director, Nutrition & Food Services , and working with the hospital Information Systems Management Team, the Nutrition & Food Services Systems Manager is responsible for building, monitoring, maintaining, supporting, and optimizing the Nutrition & Food Services department's technology systems and equipment.

The person in this role will provide expertise in a variety of IT concepts, practices, and procedures while managing direct reports. This person must also have foundational knowledge of nutrition, therapeutic diets and diet restrictions, food allergies, and nutrition supplementation.

Work responsibilities include identifying and implementing hardware, software, storage needs, cloud computing, security, training, and budgeting.

Additional responsibilities involve managing medium to large projects and/or sub-projects and resources associated with these projects.

A qualified candidate must be adept at problem solving and able to respond to unforeseen events that have a direct impact on department services.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

• This role carries primary point of contact duties (coordination of systems activities and communications) and systems administrative activities for the technologies overseen by the Nutrition & Food Services team, including but not limited to:

o CBORD Food Service Suite and Nutrition Service Suite and related application

o MICROS Point of Sale System

o Odyssey cashless procedure

o Digital Signage

o Labeling system

o CaterTrax and CaterTrax Single-Sign On Account creation

o Eurotherm temperature monitoring

o Interface of Epic and CBORD

o Department Keygiver, Department SFA Administration

o Department Intranet Site Content Management (SharePoint, Vitals)

o Primary instructor and proctor for ServSafe Manager Certification examination

o Department representative for MGH Clinical Systems Downtime Committee

o ServiceNow Configuration Item Owner for Nutrition-related IS systems

  • Integral responsibilities of the position include:
    • Works closely with department leadership and hospital IS management to define business needs, develop project approaches, scope and workplan to meet both systems and operational efficiency objectives.
    • Evaluates proposed technology projects as to their technical merits, feasibility, and sustainability.
    • Develops IT strategies and solutions that comply with enterprise IS standards and strategic directions.
    • Collaborates with stakeholders, department leaders and project managers to facilitate deliverables and end-goals for supported systems.
    • Coordinates technical activities with appropriate staff, vendors, and hospital IS.
    • Manages team responsible for ensuring the quality and operation of systems, software, networks, and computer systems.
    • Train team members.
    • Plans, manages and over-sees projects and existing systems utilizing project management methodology. This includes definition of project scope and objectives, use of management and status reporting tools, feasibility and cost benefit studies, requirements definition (functional and/or technical), system testing/quality assurance, training, implementation, post-implementation/on-going support, project administrative activities, and documentation.
    • Completes work assignments in accordance with an established project timeline. Manages IS projects within the context of the larger environment including competing priorities, staffing levels, budgetary concerns.
    • Acts as technical lead and first level support of existing systems. Provides appropriate and timely problem resolution and/or escalates through appropriate channels. Retains ownership of problem through resolution, involving Vendors, hospital IS, or department leadership as needed.
    • Maintains and updates systems documents and downtime procedures as required.
    • Provides on-going project status reports to internal management.
    • Attends monthly team meetings to discuss team and project related activities, issues, change communications, and updates.
    • Effectively conducts meetings when required.
    • Provides quality customer service, on-going communication, feedback, and follow-through with customers/peers.
    • Estimates capital and operating funding requirements associated with projects and technology needs. Manages projects within allocated budget.
    • Manages or facilitates user access based on user roles and privileges.
    • Maintain hardware inventory for the department.
    • Adheres to Mass General Brigham Digital Maintenance schedule and procedures for server maintenance
    • Provide on-call rotation support for patient care critical systems issues 24 x 7.


Qualifications

SKILLS & COMPETENCIES REQUIRED:

  • Experience managing large integration projects in a complex enterprise.
  • Knowledge of hospital operations, infrastructures, and technologies, including and understanding of
    • Hardware benchmarking/load testing
    • Database structures
    • Database connection protocols
    • Systems Development and Software Testing Protocol
    • Networks
    • Network device/printers
    • Information security and HIPAA
    • Troubleshooting
  • Knowledge of Nutrition & Food Services automation systems.
  • Understanding of the interdependence of all facets of nutrition and food services including but not limited to food production, food purchasing and inventory, clinical nutrition, patient food services, retail operations and nutrition-related abudgets.
  • Ability to work independently and self-motivate.
  • Ability to manage staff.
  • Strong analytical, problem-solving, written, and verbal skills.
  • Ability to cooperatively, and effectively, work with people from all organizational levels and support department initiatives.
  • Ability to understand the work environment and competing priorities in conjunction with developing/meeting project goals.
  • Ability to plan and manage projects, their dependencies, other resources, and timelines; and to prioritize and delegate accordingly.
  • Strong project management and technical skills.
  • Strong PC skills required, knowledge of PC applications, e.g., Microsoft Office Suite and Project, PowerPoint preferred. Strong interest in technology advances essential.
  • Ability to facilitate and work within a complex, multi-site environment.


EXPERIENCE:

Required:

Registered Dietitian - Commission on Dietetic Registration

5+ years' experience in computer systems management

Preferred:

• Work experience with large scale projects within a hospital environment.

• Knowledge of the food and restaurant regulations set by US Public Health, Massachusetts and Boston City Health Codes and Joint Commission on the Accreditation of Hospitals.

SUPERVISORY RESPONSIBILITY

Direct:

Position oversees 20 direct reports. Responsible to assign work to direct report team members and provide guidance and direction, ensuring the timeliness and quality of work delivered by staff.

FISCAL RESPONSIBILITY:

• This position participates in the gathering of quotes and provides input towards the Nutrition and Food Services budget.

• Manage within allocated budgets.

WORKING CONDITIONS:

  • Ability to be flexible, versatile, and adaptable in day-to-day activities. This may occasionally involve the requirement to work outside normal business hours to meet the needs of the operation
  • On-call coverage support for critical systems issues 24 x 7
  • Duties may require travel to offsite locations.
  • Must be able to lift up to 20 lbs.
  • Must be able to sit or stand for extended periods of time.
