JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: Under the direction of the Director of Finance and Administration in the Research department, the Accounting Specialist 3 assists in coordinating contracts, finance, and grant-related operations within the College. This position reconciles accounts, makes decisions regarding contract preparation, prepares and monitors budget; expenditure approvals; error identification, escalation, tracking, and correction; and grant agreements in compliance with awards.

DUTIES AND RESPONSIBILITIES:

  1. Monitors, reviews, and reconciles the College state and restricted accounts.
  2. Coordinates activities involving finance, purchasing and receiving, business contracts, travel expenses, purchasing cards, accounts payable, contracting, and inventory.
  3. Tracks and completes follow-up of research-related activities.
  4. Tracks the status of grant-related contracts for the College in the Cayuse System.
  5. Creates and maintains the College sponsored program files.
  6. Processes pay funding changes according to grant or contract budgets.
  7. Ensures all invoices are paid within the stipulations of the executed contracts.
  8. Provides pre-award and post-award grants management support.
  9. Ensures effort certifications are up-to-date for employees on sponsored projects.
  10. Prepares travel requests and expense reports.
  11. Orders office and lab supplies including computers, printers, and research equipment for faculty and staff; prepares equipment inventory, space survey, and self-assessment reports.
  12. Performs other duties as assigned.


Qualifications:

MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of experience in an office environment; OR Associate's Degree and two (2) years of experience in an office environment; OR Bachelor's Degree in lieu of experience. (Experience working in the UT System with IRIS and Blackboard is preferred.)

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent interpersonal skills that facilitate effective relationships with faculty, staff, students, and constituents of the College.
  • Ability to multi-task and meet short- and long-range deadlines.
  • Ability to initiate tasks and work independently of supervision.
  • Excellent written and oral communication skills enabling interactions with diverse groups of faculty, staff, and students.
  • Strong computer skills including knowledge of Microsoft Word, Excel, and Adobe.
  • Knowledge of payroll functions.
