The Administrative Assistant provides clerical and administrative support services for the Chief Nursing Officer ("CNO"), and Nursing Managers, and occasionally, to various department managers . In consultation with the Chief Nursing Officer, and Nursing Managers, this position assists in establishing, implementing and evaluating the staffing/scheduling system to meet the needs of the Nursing Services Department for appropriate categories and numbers of nursing staff to achieve a high quality of nursing care delivery in the face of fluctuating census and patient acuity, in the most cost effective manner.

Qualifications

Education:

High School Graduate or Equivalent required, College Degree preferred.

Experience:
  • Knowledge of correspondence composition and file maintenance required;
  • Good oral communication skills required;
  • Staff scheduling experience preferred;
  • Timekeeping experience preferred;
  • Three (3) years experience in acute psychiatric setting preferred;
  • One (1) year experience as Administrative Assistant experience preferred.
Skills:
  • Must be able to perform assignments with minimal supervision.
  • Capable of adapting to varying workloads and work assignments on a constant basis.
  • Works successfully under highly stressful conditions.
  • Performs concentrated and/or complex mental activity with frequent involvement in complex technical situations.
  • Comprehends oral and written instructions. Utilizes effective comprehensive reading skills, strong communication skills, written and verbal.
  • Collaborates with other multidisciplinary team members in an appropriate fashion.
  • Knowledgeable of correspondence composition, file maintenance, Kronos data entry, and report writing functions.
  • Strong computer skills. Knowledgeable of spreadsheet and word processing software required; MS Office preferred.
  • Knowledgeable of computer/website based timekeeping and scheduling program(s).
  • Makes sound, independent judgments based on Scientific and/or Ethical principles.
  • Collaborates with other multidisciplinary team members in an appropriate fashion.
  • Must be capable of adapting to varying workloads and work assignments on a constant basis.
  • Must have effective comprehensive reading skills, strong communication skills, written and verbal.
  • Must possess a valid California Drivers License in order to drive hospital vehicles or on hospital business.
