Job Summary

The Administrative Manager Associate (ASM-Finance) has the primary function of creating and maintaining a high level of financial efficiencies and retail excellence in the FRIENDS Gift Shops. They will manage and direct all cash handling employees and volunteers in all FRIENDS Gift Shop locations. This position is additionally responsible for providing guidance and advice to staff and volunteer buyers of all lean management principles. The role will also develop and implement comprehensive policies and procedures ensuring prudent business practices, while achieving the goals of the FRIENDS Gift Shops. The position also entails full operational management functionality to include opening, closing, and weekend leadership responsibilities. Work is normally performed in a typical small-scale retail setting. Under FLSA, this is an exempt job classification. Incumbents in this position must meet the full criteria for exempt status: salary level, salary basis, and duties tests.

Responsibilities*
  • Delivers a high degree of business acumen with respect to financial stewardship of the FRIENDS Gift Shops.
  • High fluency with Payment Card Industry (PCI) requirements to include compliance with the university's Treasury department and external certifying organizations.
  • Partners with Volunteer Services on the selection and direction of assigned volunteers.
  • Meet with volunteers on a regular basis to ensure objectives are met, prioritize future initiatives, and provide advice with that group.
  • Achieve goals of the position as expressed by the Store Director and measure progress using actual results and reporting metrics.
  • Analyze and summarize reports for best practices and to maximize financial efficiency.
  • Plan initiatives surrounding back of house operations and communicate pertinent information to Store Director, vendors, and marketing staff.
  • Solicit feedback from operations and merchandising personnel to improve the design and implementation of financial activities.
  • Identify, solicit, and reinforce positive business relationships with suppliers and vendors ensuring that optimum products, costs, and promotional opportunities are obtained.
  • Ensure that FRIENDS and vendor partners are following University of Michigan established purchasing standards.
  • Act as the MOD (manager on duty) in the opening, closing, and weekend responsibilities as determined by Store Director.

Required Qualifications*
  • Bachelor's degree in finance, accounting, business, or related field.
  • Three years finance, accounting, or bookkeeping experience.
  • Three years retail management experience.
  • Must be able to lift or move 35 lbs.

Desired Qualifications*
  • Fluency with University of Michigan financial platforms and applications
  • Knowledge of cash management principles and/or procedures
  • Ability to lead and train staff and/or students.
  • Ability to effectively communicate accounting information, policies, and/or procedures in a manner easily understood by the customer.
  • Account balancing skills.
  • Ability to maintain confidentiality of records and information.
  • Knowledge of computerized information systems used in financial and/or accounting applications.
  • Must have excellent verbal and written skills
  • Demonstrates a record of excellent attendance
  • Able to identify opportunities to drive performance using your analytical skills and knowledge of similar environments.
  • Relate easily to others, building rapport and collaborative relationships.
  • Remain calm under pressure and act as a settling influence when interacting with customers, volunteers, and staff.
  • Able to learn and cope with changing conditions and find solutions to issues in any situation.
  • Organized and manage time efficiently, resulting in consistent productivity.
  • Compliance with the requirements of the University of Michigan and Michigan Medicine
  • Have full literacy of Microsoft Office suite to include Word, Excel, and PowerPoint.

Work Schedule
  • Must be able to work in any of the Friends Gift Shops 4 locations during any shift the shop is open.
  • Must possess open availability to include evenings and weekends as required

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.
