Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: Performs administrative duties for the Department of Chemical and Biological Engineering and the Polymers and Soft Materials (Poly-SM) Research Center. Coordinates visits for seminar speakers, prospective faculty and students. Coordinates activities for the graduate program for the department of Chemical and Biological Engineering. Coordinates events for the Poly-SM Center.
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate's degree or higher.
Skills and Knowledge: Knowledge in the usage of personal computers and standard application software (Outlook, Word, PowerPoint, Excel), with some advanced proficiency in Excel. Good organizational, communication, and public relations skills. Punctual and reliable. Excellent written and verbal communication and customer friendly service. Efficient and accurate computer and data entry skills. Ability to work collaboratively in a dynamic setting. Ability to research and prepare comprehensive reports. Ability to work in a rapid pace with numerous interruptions and cope with stressful conditions. Demonstrated tact, versatility, and adaptability. Ability to demonstrate a high degree of self-motivation and directional initiative.
Preferred Qualifications: Experience in University systems (Concur, Banner, BuyBAMA, etc.). Knowledge of UA's financial and purchasing policies and procedures.
