Position Description

Performs administrative office support-related work for department staff, the general public, and one or more projects and specialized programs. Work requires contact with middle and high-level managers and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

Essential Duties:

  • Edits correspondence/production work for proper format, spelling, grammar, punctuation, typographical errors, syntax, style, sentence structure, content and clarity.
  • Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, travel and information.
  • Maintains records and inventories of materials, supplies and equipment.
  • Maintains an appointment calendar.
  • Researches and collects information from the files or staff for routine inquiries; refers non-routine requests to supervisor or appropriate personnel.
  • Reviews, prepares and/or negotiates applicable program purchases for services, office materials, supplies, tools and/or equipment and monitors contracts.
  • Runs queries and reports in a variety of applications/systems.
  • Schedules meetings, appointments and makes travel arrangements.
  • Answers the telephone, evaluates requests, answers questions, routes messages and serves as receptionist or front desk assistant.
  • Performs other job responsibilities as assigned.


Minimum Qualifications:

Education: High School Grad or Equivalent in general high school studies.

Experience: 1 year administrative or clerical support, customer service, business operations, communications, informational, or related experience. (Experience can be satisfied by fulltime or prorated parttime equivalent). College education and/or relevant technical training may be substituted for experience on a year per year basis. Licenses and Certifications: Valid driver's license. This position requires driving a state vehicle.

  • Using computers and applicable programs, applications and systems
  • Maintaining a safe working relationship

  • Driver's record check will be conducted by the Department. Satisfactory driving records are required for driving state or personal vehicles and motor driven equipment to conduct agency business.
  • Must attend work regularly and observe approved work hours.
  • Required to work weekends and holidays.
  • Required to work hours other than 8 to 5.
  • Required to work under exposure to inclement weather conditions.
