Job Description:

The Administrative Assistant will handle a range of administrative tasks, including managing communication, scheduling, office management, and data entry. This role requires a highly organized and detail-oriented individual who can multitask efficiently and maintain a professional demeanor.

Key Responsibilities:
  • Administrative Duties:
    • Manage phone calls, emails, and other forms of correspondence.
    • Coordinate meetings, appointments, and travel arrangements.
    • Prepare and handle documents, reports, and presentations.
  • Office Management:
    • Oversee inventory and procurement of office supplies and equipment.
    • Organize and maintain both digital and physical filing systems.
    • Handle mail and package distribution.
  • Data Entry and Record Keeping:
    • Enter and update information in various databases and systems.
    • Maintain accurate records, reports, and documentation.
    • Ensure confidentiality and accuracy of sensitive data.
  • Client and Customer Interaction:
    • Greet and assist visitors and clients.
    • Address inquiries and provide necessary information.
    • Facilitate inter-departmental and external communications.
  • Team Support:
    • Assist with project coordination and task management.
    • Support team members and management as needed.
    • Prepare materials and assist with meetings and events.
  • Additional Duties:
    • Perform miscellaneous administrative tasks and special projects.
    • Contribute to a positive work environment and support team objectives.

Qualifications:
  • Education: High school diploma or equivalent.
  • Experience: At least 3 years in an administrative role.
  • Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and related software.
    • Strong organizational and time-management skills.
    • Excellent verbal and written communication abilities.
    • Ability to manage multiple tasks and set priorities effectively.
    • Attention to detail and problem-solving skills.
    • Professional demeanor with strong interpersonal skills.
