The Department of Pediatrics at the University of Virginia's (UVA) School of Medicine seeks applicants for an Administrative Assistant or Intermediate Administrative Assistant to perform clerical and administrative work for our Pediatric Hospitalists. Administrative Assistants perform work of a clerical nature, providing office support under direct supervision. The work follows consistent practice and established procedure. They consult with supervisors for most decisions outside of standard operating procedures.

The successful candidate will be expected to:
  • Work alongside inpatient team that consists of Residents, Medical Students and attending Physicians on clinical hospital pediatric unit
  • Assist inpatient team with communication with referring hospitals and primary care offices .
  • Facilitate communication, not only with outside MDs and offices, but also nurses and unit staff on Acute Pediatrics unit.
  • This position will need to be physically present in the hospital working in the Pediatric inpatient unit and assisting residents in real time.
  • This position will be on their feet for 4 hours during rounding times.
  • This position will need Epic and Vocera access and training.
  • T ype memos, correspondence, forms, and technical or confidential reports.
  • Receive and screen incoming calls and mail, answer routine inquiries, and route calls to appropriate individual .
  • Maintain calendars. Schedule and confirm appointments, meetings, and travel arrangements.
  • Review and answer standard correspondence .
  • In addition to the above job responsibilities, other duties may be assigned.

Qualified candidates must have:

Administrative Assistant:
  • Education: High School Diploma
  • Experience: None
Intermediate Administrative Assistant
  • Education: High School Diploma
  • Experience: At least one year of relevant experience.
Preferred skills:
  • Epic knowledge
  • Working knowledge of QGenda Scheduling Software.
  • Working knowledge of Excel, Word, and Power Point.
  • Knowledge of, or willingness to learn Visio.

This position will remain open until filled. The University will perform background checks on all new hires prior to employment. A completed pre-employment health screen is required for this position prior to employment.
