UPMC Hillman Cancer Center has an exciting opportunity for a Full-Time Administrative Coordinator at the Hillman Pavilion in Pittsburgh, PA. This is a unique role that acts as a specialty care coordinator for patients. This role is patient-focused, acting as a navigator for Melanoma and Sarcoma patients. This is a Monday through Friday, daylight position. No evenings/weekends/holidays are required!

Responsibilities:
  • Coordinates referrals for newly diagnosed patients with Melanoma, other Skin Cancers, and Sarcoma, second opinions, or any patient who requires multiple provider appointments on the same day.
  • Obtain all necessary medical records, radiology reports (including electronic imaging), and pathology reports, including requesting pathology material ahead of the new patient visit.
  • Navigate the patient through their initial Hillman appointment and initiate treatment referrals back to their community provider.
  • Maintaining a statistical database of all new patient referrals.
  • Under general direction coordinates the workflow of employee(s) and provides administrative support of a complex and technical nature to single or multiple department or division (i.e., organizes, plans, and prioritizes work of others, develops and builds teams to accomplish project assignments)
  • Performs all responsibilities of an Administrative Assistant Sr
  • Provides input to presentations and other department/supervisor work (i.e., supervisor provides general thought and will draft more material based on initial ideas)
  • Reviews administrative procedures and operating practices and makes recommendations to increase efficiency.
  • Analyzes complex information requests and determines complex trends
  • Develops reports for executive or department
  • Develops and sends correspondence on behalf of department and department head (i.e., draft and send meeting minutes, draft and send meeting events)
  • Attend multidisciplinary rounds
  • Coordinate with service attendings to triage referral requests


Qualifications:

  • High school diploma or equivalent
  • 5 years experience in an increasingly responsible administrative support role.
  • Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software.
  • Ability to use applicable MS Suite products.

Licensure, Certifications, and Clearances:
  • Act 34
