The Alzheimer's Dementia Infusion/Treatment coordinator will be the lead communicator and oversee the infusion patients' care team, collaborating with patients and caregivers along the treatment pathway to oversee therapy plan. Acts as the liaison in coordinating logistics for infusion and MRI cadence needed along treatment pathway and communicate with patient and caregiver accordingly. Coordinates post-infusion per clinic protocol in the clinic or check-ins via tele-health visits to assess post infusion related reactions, address questions, etc. Provides resources to AD patients and families for the options for care and connects them with representatives from different local organizations that provide care and support. Coordinates with the supervising physician on any potential issues, needs, or assistance with any of the above.

ESSENTIAL FUNCTIONS:
  • Perform advanced administrative tasks including obtaining insurance authorizations, triaging calls, care coordination for Alzheimer's Dementia patients. Respond to complex inquiries and assist stakeholders.
  • Act as the primary source for patient communication regarding Alzheimer's Dementia infusion /testing , procedure expectations and preparation, treatment plan of care communication, placing orders and obtaining follow up metrics for patient population.
  • Coordinate Alzheimer's Dementia patients' pre-infusion workup, infusion scheduling, MRI Candence, post-infusion appointments in conjunction scheduling team, interdepartmental appointment needs and clinical staff.
  • Update and maintain required databases per Therapy Plan protocol.
  • Coordinate with Order provider and physician champion as needed based on care plan changes during treatment plan.
  • Obtain insurance authorizations for Advanced Imaging required for infusion protocol.
  • Initiate and follow through on insurance approval process for treatment and arrange peer to peer communications.
  • Follow up with patients after infusion by performing post discharge follow up phone calls.
  • Maintain systems, procedures, and methods for record keeping and reporting.
  • Assist in the preparation and coordination for meetings, interviews, committees, conferences, and calendars including schedules, agendas, and minutes.
  • Prepare presentations, letters, reports, memoranda, and related materials.
  • Demonstrate the ability to access, navigate and document in multiple software applications as necessary to perform essential responsibilities.
  • Assist with preparation of financial and quality reports.
  • Manage office maintenance and supplies and place orders for the department.
  • Other duties and administrative support projects as required.

Qualifications

EDUCATIONAL/TRAINING REQUIREMENTS :
  • High School/GED Required Experience:
  • Two (2) years of administrative experience.

EXPERIENCE REQUIREMENTS :
  • Five (5) years of progressively responsible administrative support experience in an academic, scientific or office setting.
  • EPIC experience preferred Scheduling experience preferred Additional Technical Requirements

ADDITIONAL INFORMATION:

• Basic knowledge of medical terminology and protocols

• Intermediate proficiency with electronic medical record software (EPIC)

• Intermediate proficiency with office software (Microsoft Office) including word processing, spreadsheet, and presentation software (Word, Excel, PowerPoint)
