Administrative Coordinator

Position Summary

Reporting to the Chief of Staff as part of the Office of the Vice Provost for Student Success, the Administrative Coordinator provides administrative support for the Vice Provost for Student Success (VPSS) and the Office of the Vice Provost for Student Success. The Administrative Coordinator has significant responsibility for coordinating events and academic activities that support the daily agenda and operations for the VPSS, sending out communications on their behalf and is responsible for financial transaction reconciliations from the VPSS office.

Job Responsibilities

• Coordinates and manages appointments, speaking engagements, meetings, travel, and requests for the Vice Provost's time. Manage the VPSS calendar.

• Works with internal and external stakeholders to compile and prepare documents, reports, folders, and charts.

• Assist in the oversight of all aspects of Vice Provost sponsored events, retreats, and special program development, including developing and managing budgets for events and preparing internal reports for management. This includes communication and coordination with campus partners and off-campus vendors, management of budget, etc.

• Assist in the coordination, supervision, and completion of special projects as appropriate, including strategic priorities and new initiatives for the Office of the Vice Provost and the Division of Student Success.

• Assists with internal and external communication including assisting with managing the Vice Provost's public relations strategy.

• Organize and coordinate VPSS search committees and the interview process on behalf of the VPSS. Point of contact and responsible for guests brought to the University of behalf of the VPSS.

• Direct supervision of student employees, interns, and practicum students; recruits and selects student staff.

• Assists with onboarding of new employees.

Competencies/Qualifications

Excellent written and oral communication skills. Strong decision-making and problem-solving skills. Time management and organization with attention to detail is a must. Extensive knowledge of Microsoft Office products, especially Outlook, Word, Excel, and SharePoint. Have the ability to keep information confidential. Ability to work effectively with a wide range of constituents in a diverse community.

Required Education & Experience

Associate's Degree and one year of experience in an office setting including managing calendars and event planning.

Preferred Education & Experience

Bachelor's Degree and five years of office experience. Two years experience providing executive level support. Prior experience in a University setting. IRIS experience preferred.

Anticipated hiring salary: Minimum of $55,000
