The College Arts and Humanities Institute (CAHI) provides research funding for IUB faculty and graduate students of arts and humanities programs in the College of Arts & Sciences (The College). The Institute also organizes several events throughout the year, including public lectures, readings, and writing workshops, across campus and at the Gayle Karch Cook Center for Public Arts and Humanities in Maxwell Hall.

Job Summary

CAHI is seeking an Administrative Generalist Coordinator to provide program support for CAHI and affiliated centers for

Department-Specific Responsibilitites
  • Provides administrative support for CAHI and affiliated Centers. Maintains files, databases and mailing lists; gathers information and generates reports. Generates replies independently to a wide range of inquiries via e-mail, paper and telephone. Researches answers to queries as necessary.
  • Assists with daily business affairs. Serves as account delegate for CAHI accounts as well as those of the above affiliated centers. Processes financial transactions and reconciling account statements. Processes financial documents in KFS, Buy.IU and Chrome River.
  • Organizes and plans logistics for program events, workshops and lecture series. This may include making space reservations, catering arrangements, setup and breakdown of events, arranging guest travel, and corresponding with presenters and attendees, as well as provided support during meetings or events.
  • Collects and edits information (images, copy, etc) from CAHI's constituent units regarding research and public activity supported by CAHI.
  • Assists with CAHI grant competitions throughout the academic year. Organizes applications and prepares and/or proof-reads award letters for successful and unsuccessful applicants.
  • Researches opportunities for external funding.
General Responsibilities
  • Evaluates office production, revises procedures, or devises new forms to improve efficiency of workflow.
  • Organizes office operations and procedures, such as creation of Word and Excel files, bookkeeping, and preparation of payrolls, flow of correspondence, filing, requisition of supplies, and other office services.
  • Oversees opening, sorting, and routing of incoming mail, answers correspondence and prepares outgoing mail.
  • Monitors the use of office supplies and equipment; reorders items as required.
  • Ensures that office procedures and policies are being maintained and communicated.
  • Compiles, copies, sorts, and files records of office activities.
  • May perform other duties related to maintaining an internal website and/or working with social media.

EDUCATION

Required
  • High school diploma or equivalent (such as HSED or GED)
WORK EXPERIENCE

Required
  • 2 years of relevant experience

  • 3 years of related work experience preferred

  • Must be able to work independently, prioritize tasks, and work cooperatively with a wide range of faculty, staff, and students.
Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
