The Facilities Management Admin Department is seeking (1) Administrative Specialist, Administrative to join the already awesome team taking the Facilities Department to the next level of excellence!

HERE IS WHAT YOU WILL DO

The Administrative Specialist, Administrative provides support for the Facilities Division with the oversight of the front area, processing items in the purchasing system, and maintaining the filing system for capital projects, etc. Will also be responsible for providing assistance with the direction and supervision of the students and temporary staff that support the Building's Lobby desk, the 12th floor front desk and filing sections.

In addition to supporting the department , duties will generally fall into one of the following groupings, although overlapping of duties may occur as needed:

  • 12th Floor Front Desk Station: Manages all the functions of the front desk station to ensure that a professional, customer-oriented image is projected at all times. Functions include but are not limited to answering building's intercom entry requests, greeting, and providing direction to guests; receiving and tracking packages and other deliveries; date stamping a distribution mail, ordering office supplies for the downtown departments/units; etc.
  • Building Lobby Desk: Assists with overseeing and managing all functions of the desk. Responsible for scheduling coverage utilizing student and/or temporary staff. Will ensure that the staff report for their scheduled work shifts in a dependable and timely fashion to minimize the interruption or delay of regular work output for the unit. Will also assist with monitoring building's camera at entrance and lobby.
  • Conference Room Scheduling: Oversees/manages the FMD Room Reservation Outlook account. Reviews and processes internal and external requests associated with the eight (8) conference rooms managed by Facilities. Ensures that associated requests for support are coordinated with other GSU units and vendors. Communicate with event coordinators to confirm or deny requests.
  • Assisting Building Maintenance and Operations at the Perimeter Campuses and Downtown Campuses with general administrative support. Support may include entering data in the work management system - Archibus; Will enter requisitions in Panthermart, when needed; Prepare documents in Word and Excel and support with special projects as needed.
  • Accurately utilizes the University's purchasing system (Panthermart) to enter requisitions and express vouchers for Planning and Design & Construction Services units. Reviews and inputs furniture, equipment, and material purchase proposals in Panthermart (including assigning account and category codes, identifying assets, etc.). Interface with the project manager and project superintendents when needed to get clarification on items being processed.
  • Carries out departmental duties as necessary.
  • Build successful relationships with customers, co-workers, and administrators.

Qualifications:

Minimum Requirements:
  • Bachelor's degree and two years administrative experience, or a high school diploma or GED and six years administrative experience, or a combination of education and related experience.
