Job Summary/Basic Function
Responsible for managing and tracking budget details for federal grant program using both proprietary and spreadsheet software. Serves as front line contact for GEAR UP grant program interacting with secondary and post-secondary students and families, faculty, staff, administration, as well as the general public. Provides administrative and clerical support for Program Director and professional staff, including basic secretarial and office duties, travel arrangements, facility scheduling, event coordination, etc. Handles administrative details which require discretion, professional judgment, and knowledge of administrative processes. Establishes and maintains professional working relationships with grant partners at state and local levels. Maintain the Access database, new student data entry, and communication platforms for contacting students and parents. Pull data reports as need for annual reporting and any other data related responsibilities as needed.
Department & Program Highlights:GEAR UP (Gaining Early Awareness and Readiness for Undergraduate Programs) is a federally funded college access & readiness program administered by Weber State University who partners with local junior highs and high schools to help students (1) successfully graduate from high school, (2) establish a college-going culture within their homes, (3) gain knowledge about postsecondary options, preparation, and financing, and (4) prepare to enter and succeed in postsecondary education.

Required Qualifications
High School Diploma or equivalency. Minimum one year budget management experience or equivalent education and experience Two or more years related secretarial/office management experience/advanced proficiency in MS Office software including Excel, Word, Publisher, and PowerPoint Experience with Google calendar management and scheduling, including arranging professional meetings, large group events, and recurring meetings.
Preferred Qualifications
Extensive understanding of general accounting principles and practices with demonstrated ability to effectively maintain detailed budgets with supporting documentation Associate's degree or equivalent higher education with coursework in accounting procedures. Must possess excellent written and verbal communication skills with demonstrated attention to detail and professionalism Proven organization, communication, customer service, and interpersonal skills in a fast-paced, high impact office environment One or more years working with federal grant programs Experience developing marketing materials and using different social media outlets Experience working in secondary education Understanding of and experience working effectively with low-income secondary student populations Bilingual in Spanish (oral and written) Familiar with Weber State or other higher educational institution structure and services
