Responsibilities

This position oversees administrative, operational and fiscal activities for the Department of Public Administration.
  • Serves as the departmental Human Resources representative. Facilitates all new hire, rehire, and onboardings through FSU's recruitment and onboarding systems. Processes appointments, monitors actives, certifies payroll, and approves time. Manages the department's new employee process to include department orientation and the development of training resources and policies. Coordinates with General Counsel and the Center for Global Engagement on immigration issues for new employees to ensure work authorization is obtained before start date.
  • Coordinates and performs monthly reconciliation of account ledgers. Audits internal accounting system for accuracy and consistency with FSU systems. Ensure accurate processing of budget, expenditures, and payroll. Analyzes, prepares, reviews, and disseminates budget reports to the department chair, faculty, and department staff. Collaborates with the department chair to develop a department budget. Serves as P Card Proxy for other UBA P-Card holder.
  • Serves as travel and purchasing representative for the department. Processes requests to travel in a timely manner. Ensures travel is compliant with FSU policies and procedures. Monitors faculty and student travel allocations. Works with internal and external vendors to handle payments. Onboards vendors, submits PO's and Payment Request Forms.
  • Creates the e-binder for the Promotion and Tenure process for faculty. Inputs the Assignment of Responsibilities (AOR) for faculty each semester. Coordinates with faculty and staff to input FACET information for faculty and staff/OPS funded by grants.
  • Participates in administrative management of the department. Attends regular meetings with faculty and staff. Ensures inventory is tracked and documented. Assists with space allocation. Assists in the preparation and management of events held by the department.

Qualifications

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Preferred Qualifications

  • Prior knowledge with Florida State University's human resources processes and financial systems.
  • Experience with budgeting and basic accounting principles.
