Responsibilities

  • Manage and coordinate all fiscal duties for university sponsored projects & auxiliary enterprises, manage requisitions, maintain, reconcile, monitor budgets and report to assistant director as needed, assist and support principal investigator to accomplish goals, provides day-to-day administrative assistance for the office. Process and complete inventory of all C&G, Applied Studies, and Distance Learning programs equipment. Process and track all issued equipment to all department employees.
  • Responsible for weekly P-card transactions and monthly P-card reconciliations for department; ensure that each purchase has correct accounting information, description, and is in compliance with policies and procedures set forth by the university and the State of Florida; maintain filing system of P-card charges. Processes budget reconciliations for all C&G, E&G and Aux accounts monthly.
  • Review and enter travel authorizations and expense reports in OMNI ensuring that reimbursements are in compliance with federal, state, and university policy and that appropriate approvals have been obtained; work with Tallahassee travel department on issues and questions related to travel and expenses. Enters requisitions and conducts purchasing for all budgets and departmental staff.

Qualifications

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Preferred Qualifications

  • Prior work experience reconciling budgets.
  • Prior work experience reconciling credit cards.
  • Prior work experience related to HR.
  • Prior experience working with university grant management.
  • Ability to prioritize, organize and perform multiple work assignments simultaneously.
  • Ability to gather, interpret, report and/or edit information.
  • Ability to evaluate process effectiveness and develop change or alternatives.
  • Ability to establish and maintain working relationships.
  • Ability to develop and implement policies, procedures, goals, and objectives.
  • Ability to effectively train and direct the work of others.
  • Ability to effectively communicate verbally and in writing.
  • Knowledge of and ability to interpret and apply federal, state, and local laws, ordinances, rules, and regulations.
  • Knowledge of and ability to interpret and apply related University policies, procedures, principles, and practices.
  • Knowledge of applicable computer applications and basic computer functions.

The ideal candidate: The ideal candidate would be a quick learner, organized, a great multi-tasker, and attentive to detail.

Typical day/working environment: A typical day would be working with multiple people on multiple grants/projects, purchasing, travel, creating DocuSign packets and getting appointments submitted to HR.

What to expect in the first 60-90 days: You can expect in the first 60-90 days to be learning many things related to travel, purchasing, and HR and become proficient in completing these tasks. It will require good organizational skills and keeping up with a steady workflow.

Anticipated Salary Range

Starting in the mid $40,000's, commensurate with education and experience.
