Pay

This position is a non exempt position at pay grade 108.

Attendance

Non - rotating 40-hour work week, Monday - Friday, 8:00am - 5:00pm. Must be available to work additional hours as needed.

Overview:

The Administrative Support II will provide support to the Public Works Finance Department, under the Finance and Resource Manager and Public Works Executive staff. The position will support the Finance department by ordering supplies, P-Card duties, maintain inventory, billing/ processing invoices, and reconcile billing/ invoice reports. They will also provide assistance to the Director and Assistant Directors as needed. Scheduling department meetings on calendars, composing and edit correspondence, email, and departmental communication.

Responsibilities

• Provide support with billing processing and invoicing

• Administrative support by coordinating with field Street Senior Management Analyst to reconcile billing and invoice reports

• Serve as support and backup to the Senior Management Analyst in P-card duties

• Provide assistance in financial duties as needed in support of the Finance & Resource Manager

• Provide administrative support to Public Works Executive staff by screening calls, assisting with walk - in customers, and draft written correspondence for the department

• Help conduct research and respond to inquiries by citizens as needed

• Forward phone calls to the appropriate department or person

• Communicate effectively with both internal and external customers via email, telephone, fax, text, memorandum, and letter

• Assist department with assigning procurement cards to schedule travel and training for department personnel

• Maintaining and scheduling meetings as requested by Executive staff

• Maintain supplies and inventory and assist in purchase orders

• Copy, scan and route sensitive document for review, and approval from the Director and Assistant Directors

• Other duties include providing staff support for projects, events and initiatives

• May be asked to perform other duties as assigned

Qualifications

•Requires High School Diploma/ GED

•Minimum of two (2) years of experience

•A valid driver's license is required; successful out-of-state candidates must be able to obtain a valid Texas driver's license within 90 days of hire

Basis of Rating

Application review and the City may also conduct additional skill assessment tests, in addition to the panel interview.
