Position Summary

The Fu Foundation School of Engineering and Applied Science is looking for a team player and self-starter to join the Office of Graduate Admissions as the Admissions Operations Officer. Reporting to the Assistant Director of Graduate Admissions, the Admissions Operations Officer at The Fu Foundation School of Engineering and Applied Science manages application processing, collaborates with Engineering faculty to review and provide application recommendations, serves as a liaison for one of the academic departments within SEAS as well as to partners in Engineering Student Affairs, and establishes and implements operational workflow improvements. This position will provide technical expertise and support in maintaining and improving processes within the Slate CRM, as well as the student information system and other key ancillary support systems.

Responsibilities
  • Responsible for managing key day-to-day admissions processes and data operations, including the processing and review of graduate admissions applications. Duties include but are not limited to overseeing the development and management of the Slate instance, ensuring that rules, decisions, dashboards, campaigns, and messaging are configured in alignment with the institution's processes and needs; coordinating application document management into Student Information Systems (SIS); analyzing applicant data; verifying credentials of admitted students; communicating admissions policies and procedures; pre-screening applications; responding to applicant inquiries; and serving as an admission liaison to academic departments. (35%)
  • Provide Slate support for external offices within the School of Engineering, including but not limited to the Science Honors Program, Summer High School Academic Program for Engineers (SHAPE), and Research Experiences for Undergraduates (REU). Work with Engineering faculty and staff to determine admission criteria, prescreen applicants, sort applications, and provide recommendations to the appropriate departments. Read and evaluate admission applications from assigned disciplines. Functions include calculating GPA, reading personal statements, analyzing the rigor of course load, and assessing international educational systems. Also includes follow-up conversations with student applicants and/or applicants' recommenders to gather any additional material needed. Recommend admission decision to the appropriate Faculty. (30%)
  • Engage and support prospective students through various communication channels, including email, phone, and in-person interactions. Oversee the administration of admission processes by managing inquiries, handling walk-ins, processing and verifying admission documents, and articulating School policies to diverse stakeholders. Cultivate and sustain robust communication strategies to connect with prospective applicants effectively. Participate in recruitment initiatives both domestically and internationally, representing the School at various recruitment events. (25%)
  • Performs related duties & responsibilities as assigned/requested on behalf of the University and the Office of Graduate Student Affairs, including but not limited to orientation, graduation, and other programming and events. (20%)

Minimum Qualifications
  • Bachelor's Degree and aminimum of 2 - 4 years experience in a related area.
  • Knowledge of CRM systems (e.g., Slate) and other admissions-related software is strongly preferred.
  • Experience with a university Student Information System (SIS) is beneficial. An understanding of innovative uses of technology in admissions workflow processes.
  • Competency for analyzing application-related data and assessing programming activities as part of a strategic enrollment planning initiative. Competency in the use of query tools and software utilized to collect and process applicant data is required. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong communication skills (written and verbal). Ability to clearly and effectively convey complex information to individuals or groups of people of varying experience levels. Strong judgment and excellent people management skills.
  • Strong background and proven record in execution and problem-solving under general supervision on administrative matters and demonstrate both excellent working relationships and strong communication skills.
