Position Purpose:
Performs gift recording and associated administrative activities to ensure the accurate and timely processing of gifts and pledges; proofs gift entry ensuring accuracy and that donor intent is met for Dartmouth Health and its member institutions. Focuses on gift entry, data integrity, work allocation, and the daily entry of all kinds of biographical data. Identifies and corrects data inconsistencies and informs data entry policies and procedures in an effort to continuously improve data and systems.

Required Qualifications - Education and Yrs Exp: Associates plus 3+ years' experience or equivalent combination of education and experience

· In-depth knowledge of Microsoft Office applications.

· Knowledge of various research tools; i.e. Lexus/Nexus, Alumni Finder, etc.

· Ability to spend long periods of time entering data.

· Demonstrated ability to be flexible and cooperative in a collaborative, fast paced, dynamic, and sometimes stressful environment.

Experience
· Three plus years of relevant office experience.

· Experience entering data into multiple high-level systems that have different standards and protocols.

Education
· Associate degree or the equivalent combination of education and experience.

Preferred Qualifications:
· Experience with Raisers Edge or like fundraising system preferred.
· Experience documenting business practices and processes preferred.
· Bachelor's degree preferred.

Key Accountabilities

Description:
Records Processing

· Functions as gift recorder; batching, recording, and verifying gifts. Scans backup into our PaperSave system, prepares deposits for multiple bank account, runs reports to ensure gifts entered balances with bank deposits, makes deposit with follow-up reconciliation for all deposits against all gifts entered against all gifts reported to DHH Corporate Finance. Ensures that gifts are entered in a donor centric fashion that adheres to CASE / FASB and IRS Guidelines.

· Sorts mail, collects gifts (cash, check, credit card, web) and pledges, sorts into like groupings, builds batches for entry and participates in proof reading the work of other gift recorders.

· Communicates with donors by phone and email for clarification on the fund allocations, rejected credit cards and bounced checks.

· Co-manages receipting and other letter generation as needed including tribute notification letters for DHMC as well as member hospitals (currently four members).

· This position may require traveling to provide on-site support at our member hospitals and may include weekend work to support money collection at events.

Description:
Data Management

· Take on identified data entry and reconciliation projects from a variety of sources. Some will be finite in nature; others will be ongoing. Works collaboratively adhering to established standards to ensure that data is entered correctly and the database is as consistent, clean, and accurate as possible.

· Works on various projects that are specifically designed to enhance, broaden, and deepen the quality and quantity of biographical, employment, and prospect information on DHH House staff,

· Researches new addressees for those whom we have had mail returned.

· Develops data entry procedures manuals and maintains the same.

· Suggests data and process improvement ideas to the Manager. Works with the Manager to continuously develop improved procedures and processes. Looks for opportunities to enhance all types of gift and biographical data.

· Runs a variety of data integrity queries and reports to confirm overall quality of data. Identifies data inconsistencies and corrects when/as appropriate.

· Keeps Manager of Gift Recording & Records abreast of team work-load and works with Manager of Gift Recording & Records and entire data team in a collegial manner to identify and alleviate bottlenecks and other problems that impede the timely and accurate entry of data.
